An exciting opportunity has arisen to join our small and friendly team at Cambridgeshire and Peterborough NHS Trust. We are looking for an enthusiastic and motivated individual with excellent interpersonal skills to work as a Receptionist for our Headquarters and Resource Centre. The Receptionist offers a comprehensive service in a busy and often demanding environment, so candidates will need to be confident and adaptable to change.
Key Responsibilities:
1. Ensure telephones are answered in a timely and helpful manner, redirecting calls where necessary.
2. Maintain a professional and effective front of house service, dealing with queries from service users, carers, or staff in person or on the telephone, conveying messages clearly and precisely while maintaining confidentiality.
3. Book taxis, couriers, and portering services as required.
4. Support the issue and regulation of staff ID badges, including creating cards and running reports while ensuring staff/building security.
5. Assist the EPRR/On-call Team with preparation and distribution of the Senior Management on-call rota, meeting invitations, and weekly resilience call information.
6. Assist the EPRR/On-call Team with new manager onboarding procedures.
7. Liaise with site Duty Practitioners and circulate weekly rota.
8. Oversee room induction emails and book rooms/portering services where appropriate.
9. Manage the booking out of keys, maintaining a tracking diary and record log.
10. Assist with MHA Tribunal meetings as required, ensuring visitors receive necessary equipment and paperwork.
11. Oversee the key tracker cabinet, charge alarms, and raise maintenance concerns when necessary.
12. Be the main point of contact for general Estates and Facilities maintenance calls, reporting jobs to the appropriate help desk.
13. Assist with maintaining stocks and supplies, placing orders when necessary, and using resources effectively.
14. Support new staff with building inductions and provide health and safety/security information/training.
15. Ensure databases are kept up to date and maintain records for deliveries received and collected from the building.
16. Undertake administrative projects on behalf of the Corporate Office when requested.
17. Sort and distribute incoming and outgoing post and deliveries, advising colleagues when items arrive and maintaining records.
18. Send out site communications in emergencies/urgent actions required.
19. Utilise various software packages to produce accurate documents and presentation materials within agreed time limits.
20. Review and develop IT skills related to the Trust's IT systems, ensuring all skills are up-to-date by attending courses when necessary.
21. Extensive and competent use of Microsoft Outlook for emails and calendars.
