The Assistant Buyer role is multifaceted, balancing administrative tasks with growing creative and strategic responsibilities. You will partner with the Buying Manager to achieve sales and profit targets by shaping a commercially focused, well-balanced product range that aligns with the brand’s objectives. A strong understanding of market trends and sales figures is essential, alongside a keen creative eye, analytical acumen, and solid administrative skills. As the role expands along with the business, you will have opportunities to take ownership of specific product areas and further develop your expertise.
Key Accountabilities & Responsibilities
Critical Path
* Oversee the seasonal critical path to ensure key deadlines are met, liaising with suppliers and alerting the Buying Manager to potential risks.
* Provide support across all areas of the buying department.
* Manage all sampling requirements—current season, development, and archive—while maintaining an organized office and sample area.
* Collaborate with the Buying Manager and design team on raw material requirements (fabric, trims, labels) for production, ensuring timely supplier deliveries in line with critical path objectives.
* Coordinate with eCommerce on photoshoot call-offs and bookings, ensuring products are sent and returned promptly.
* Work with the e-commerce team to ensure new products launch on time and that all samples are available for eCommerce photography.
Ranging & Production
* Assist the Buying Manager in creating a balanced, commercial, and innovative product range for all business channels.
* Support the sourcing of new products, fabrics, and suppliers, ensuring correct setup in internal systems and maintaining supplier contact details.
* Review supplier pricing and margins, proposing adjustments to the Buyer.
* Under the Buying Manager’s guidance, suggest new product ideas aligned with La Coqueta’s business strategy.
* Help develop initial product strategy packs for each season’s development.
* Prepare materials for weekly trade reviews, seasonal meetings, and ad hoc presentations.
* Maintain accurate range plan information and promptly update the range plan and relevant business systems with design and production changes.
* Create new style records in key systems, ensuring product information is correctly documented and communicated.
* Collaborate with the Buying Manager to deliver wholesale line lists and provide information to wholesale customers, processing orders as required.
* Support quality checks during production to ensure company standards are met, managing any faulty stock or quality concerns through retail and warehouse channels.
* Assist in fit sessions with the Buying Manager and Designer, recording accurate fit comments and circulating them to relevant stakeholders.
* Maintain supplier critical path details and promptly escalate issues to the Buying Manager and Head of Product.
Communication
* Stay in regular contact with suppliers, proactively resolving issues with solution-focused recommendations.
* Contribute to the supply base strategy by highlighting commercially relevant insights.
* Communicate effectively with factories regarding orders, deliveries, and quality control concerns.
* Manage faulty stock processes in coordination with the warehouse, ensuring clear internal and external communication.
* Provide feedback on sample progress to suppliers.
* Oversee daily post, manage courier logistics for suppliers, and maintain a strong relationship with the retail team by addressing product concerns and sharing feedback with the wider product team.
Analysis
* Prepare analysis and reports to support product, retail, and eCommerce reviews.
* Conduct competitive shopping and analysis, including range reviews and price comparisons, as needed.
* Offer commercial product development insights informed by best and worst sellers, as well as seasonal trends.
Key Requirements
* Genuine passion for and understanding of the La Coqueta brand.
* Proficiency in Microsoft Office, particularly Excel.
* Spanish language skills (desirable).
* Commercial awareness with a focus on emerging trends and brands.
* Strong multitasking abilities and time-management skills, ensuring tasks are completed accurately and efficiently.
* Excellent communication and organizational skills.
* Adaptability and flexibility in a changing work environment.
