Main Duties and Responsibilities
Patient Care
1. Dealing with patients, visitors, and other health professionals either in person or on the telephone.
2. Administering the appointment booking system.
3. Answering patient enquiries with the support of other practice staff as necessary.
Administrative
1. Preparing repeat prescriptions in accordance with the practice policies and protocols.
2. Scanning of referral letters, medical reports, etc. directly into patients' electronic notes.
3. Preparing and processing referrals using the e-referral system.
4. Undertaking all tasks associated with the day-to-day running of the computer system including the links with patient services.
5. Entering new patient registrations and updating patient information onto the database.
6. Undertaking all other administrative duties necessary to support the smooth running of the surgery as directed by the Practice Manager.
Team Working
1. Developing, applying, and disseminating areas of knowledge and expertise to all reception team members.
2. Continually seeking ways of improving procedures and workflows to maximize the effectiveness of the reception team.
3. Understanding the requirement of confidentiality at all times.
The practice places great emphasis on team working and aims to foster good relationships throughout the team. All staff are encouraged to attend appropriate staff meetings and participate in other activities important to practice life.
Confidentiality
In the course of seeking treatment, patients entrust us with sensitive information regarding their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. The post-holder may have access to confidential information relating to patients, their carers, practice staff, and other healthcare workers, and must adhere to practice policies and procedures regarding confidentiality and the protection of personal and sensitive data.
Health & Safety
The post-holder will implement and lead on a full range of promotion and management of their own and others' health and safety and infection control as defined in the practice Health & Safety Policy, Health & Safety Manual, and Infection Control policy. This includes:
1. Using personal security systems within the workplace according to Practice guidelines.
2. Awareness of national standards of infection control and cleanliness, regulatory/contractual/professional requirements, and good practice guidelines.

The post-holder will support the equality, diversity, and rights of patients, carers, and colleagues, including:
1. Acting in a way that recognizes the importance of people's rights, interpreting them in a way consistent with practice procedures and policies, and current legislation.

The post-holder will participate in any training program implemented by the practice as part of this employment, including:

2. Taking responsibility for own development, learning, and performance, demonstrating skills and activities to others undertaking similar work.

The post-holder will strive to maintain quality within the practice by:
1. Alerting team members to issues of quality and risk.
2. Assessing own performance and taking accountability for own actions, either directly or under supervision.
3. Contributing to the effectiveness of the team by reflecting on own and team activities and suggesting improvements.
4. Working effectively with individuals in other agencies to meet patients' needs.

The post-holder should recognize the importance of effective communication within the team and strive to:

2. Communicate effectively with patients and carers.
3. Recognize people's needs for alternative methods of communication and respond accordingly.
Contribution to the Implementation of Services
The post-holder will:
1. Apply practice policies, standards, and guidance.
2. Discuss with team members how policies, standards, and guidelines will affect their work.
3. Participate in audits where appropriate.
