Role: Pharmacist Advice and Support Service (PASS) Co-ordinator Location: Belfast Office / Hybrid Reports to: Pharmacy Forum Manager Salary: £26.3K Pro Rata Hours of Work: 12-month fixed-term contract, 40% Full-Time Equivalent. Working pattern negotiable and spread over the working week, with the possibility of becoming permanent upon contract expiry. The post holder may need to arrange service user calls outside standard working hours when required. Job Purpose The PASS Co-ordinator will be the first point of contact for service users, directing them to appropriate support and advice. They will manage all PASS activities and administer the charity on behalf of Trustees. About Pharmacist Advice and Support Service (PASS) PASS is a Northern Ireland-registered charity that provides confidential support to pharmacists, former pharmacists, foundation year pharmacists, and their dependents in times of need. Services include: 24/7 helpline Face-to-face, telephone, and online specialist counselling via our partner LENA Financial and legal guidance Access to an online support hub Main Responsibilities (Note: This role may evolve over time as priorities shift.) Act as the first point of contact for service users, handling enquiries confidentially Provide information and signposting to relevant PASS services Process and manage applications for financial assistance Maintain an ongoing caseload, including follow-up actions and committee decisions Oversee administrative systems and generate reports as required Support the PASS committee with business planning and resource management Manage the PASS budget and reconcile accounts with the finance team Lead on pre-defined service development projects Handle operational administration of PASS, including Trustee reports and liaising with accountants, auditors, and the Charity Commission NI Promote PASS to increase awareness among potential beneficiaries Essential Knowledge & Skills At least 2 years experience in a similar role within an organisation Minimum of 2 years experience: Taking minutes at a committee level Working with Board and Committee Members Report writing Handling confidential information Budget preparation and account reconciliation Proficiency in MS Office Suite Strong planning, organisational, and time management skills Excellent communication and interpersonal skills to engage with diverse stakeholders Ability to work independently and collaboratively Strong attention to detail and accuracy Willingness to work flexibly, including occasional evenings Desirable Skills & Experience Experience with WordPress, Mailchimp, and SurveyMonkey Submitting annual monitoring returns to the Charity Commission NI Knowledge of Charity Commission guidelines on running a charity and Trustee responsibilities Experience in event planning and organisation Project management experience For an informal discussion about the role, please contact us.
