Kings Recruitment Consultants are working with a client from the educational supply sectors to recruit a Sales Support & Customer Services Manager on a permanent basis. This is a great opportunity to join a small company that has been established for over 30 years and in the last 4 years they’ve grown year on year and over doubled turnover. They are offering flexi/hybrid working – 3 days from home, 1 day in Waltham Abbey and 1 day in Chigwell.
Our client provides products and equipment to schools and colleges in the London and South East area and has growth plans to cover the whole of the UK. As a result of their success, they are looking for someone to manage sales-related administrative processes and handle post-sales customer support, resolving any customer service issues. You will report directly to the directors (who are all hands-on) and will be an integral part of the business moving forward.
Duties & Activities:
* Select appropriate supplier/s for orders received, considering product pricing, delivery costs, and delivery timeframes.
* Accurately enter order details into the system (currently QuickBooks) and generate purchase orders.
* Ensure receipt of purchase orders by suppliers and track the fulfilment and delivery of products. Follow up on delayed items.
* Prepare and issue invoices to customers.
* Create new product listings in the QuickBooks system.
* Good understanding and working experience of SharePoint.
Customer Service:
* My client aims to provide the best possible customer service to each customer. Nurture all customers by handling and resolving reports of missing or damaged products, or other issues communicated to the sales team. This includes liaising directly with customers and suppliers, reporting issues, obtaining and forwarding photos, and organizing replacements and/or issuing credit notes.
* Manage the administration, procurement, and distribution of Christmas/Holiday cards and gifts to customers. Produce labels using mail merge.
General:
* To provide general support and administrative assistance, as required.
* Product/image loading and maintenance on the company website (as required).
Skills & Experience Required:
* Experience working within a sales/customer support environment is essential.
* Solid background in administration is essential.
* Proficient with MS Office, including intermediate level Excel and Outlook, plus mail merge in Word and basic PowerPoint.
* The ability to remain patient and calm during stressful situations.
* The ability to work well under severe pressure and to handle criticism well.
* Excellent verbal and written communication skills.
* Excellent organizational skills and attention to detail.
* Self-motivation to use initiative and to innovate when required.
* Ability to identify, analyze, and prioritize problems to generate and implement solutions.
* Ability to manage your own time and multi-task.
* Familiarity with QuickBooks/Purchase Order system/Client Relationship Management (CRM) system is desirable.
* Outgoing and friendly demeanor with a keen focus on customer service.
* Proven organizational abilities and attention to detail.
* A flexible attitude to ensure priorities are constantly assessed and delivered on.
* Positive, helpful manner with a hands-on approach and a commitment to excellence.
* Good listening skills, empathy, and a structured, level-headed approach to solving problems.
* Proven ability to work as part of a team and remotely without supervision.
