Trinity Fire & Security Systems, part of the PTSG Group, have delivered industry leading services in the Fire and Security industry for over 28 years. As we continue our growth into 2025, we are looking to strengthen our Finance department with the addition of an Accounts Payable Administrator.

What is the role?
As an Accounts Payable Administrator at Trinity, you will be managing our accounts payable functions, ensuring timely and accurate processing of supplier invoices, payments and resolving discrepancies. This role plays a key part in maintain strong relationships with suppliers and internal departments while supporting financial processes and controls.
The key tasks include the following:
Invoice Processing: Review, verify, and process all incoming invoices, ensuring they are accurate, properly authorised, and aligned with purchase orders or contracts.
Payment Processing: Process payments to suppliers in accordance with company policy, ensuring timely payment cycles and avoiding penalties.
Account Reconciliation: Reconcile supplier statements with internal records and resolve any discrepancies, ensuring all outstanding invoices are accounted for and cleared in a timely manner.
Supplier Relations: Communicate with vendors to resolve issues related to payments, discrepancies, and invoice queries.
Record Keeping: Maintain accurate and up-to-date records of accounts payable transactions, supporting documentation, and payment logs.
Compliance: Ensure compliance with financial policies, internal controls, and relevant regulations, including tax-related issues.
Month-End Close: Assist with month-end and year-end closing procedures by preparing necessary reports, accruals, and documentation.
Audit Support: Assist in internal and external audits by providing requested information and supporting documentation.
Process Improvement: Suggest and implement improvements in accounts payable processes to enhance efficiency and accuracy.
What skills do you need?
Strong knowledge of accounts payable processes and accounting principles.
AAT – Studying towards or qualified in, would be preferable.
Knowledge and understanding of the Construction Industry Scheme (CIS) and the HMRC Domestic Reverse Charge is preferable.
Proficiency with accounting software (Access Dimensions).
Microsoft Excel skills (pivot tables, VLOOKUP’s etc.).
Excellent organisational and time management skills.
Excellent verbal and written communication.
