Job Summary
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
We are looking for someone to work 25-30 hours per week, mainly afternoons.
Job Responsibilities
1. Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
2. Deal with all general enquiries, explain procedures and make new and follow-up appointments.
3. Using judgement and communications skills ensure that patients with no prior appointment are guided to complete the appropriate in-line forms to seek the correct medical advice and support. Assess and escalate where appropriate.
4. Explain practice arrangements and formal requirements to new patients registering and those seeking temporary cover and ensure all information required is provided in a legible format.
5. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
6. Assist when necessary with the processing of repeat prescription requests.
7. Prepare lists and notes for all surgeries and clinics held, ensuring completion of all associated paperwork.
8. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
9. Enter accurate patient consultations and information on to the computer as required.
Patient Notes And Correspondence
1. Retrieve and re-file records as required in the filling room, ensuring strict alphabetical order is adhered to.
2. Ensure correspondence, reports, results etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
3. Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
4. When receiving completed forms (new registrations, consent forms SARs etc) ensure that all blanks are filled in and correct patient details added.
5. Assist with the management of NHS email and Docman ensuring anything urgent is highlighted to the Duty Doctor or assigned GP.
Premises
1. Open up premises at the start of the day when first to arrive and make all necessary preparations to receive patients.
2. When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and side gate locked.
3. Undertake any other additional duties appropriate to the post as requested by the Partners or the Reception Manager to include but not restricted to cancel clinics, rebook appointments, review incoming post, record and send samples for investigation.
Person Specification
Experience Essential
* Experience as a receptionist.
* Experience of working in a healthcare setting, preferably in primary care.
* Experience of working through multiple systems at the same time in a time-efficient manner.
* Good customer service skills.
Desirable
* Experience of working with healthcare professionals and or previous experience in the NHS.
* Experience of working in a customer-facing role.
