Art4site Ltd is a specialist fine art printing and artwork scanning studio, one of the select Hahnemhle Platinum Certified Studios worldwide. We work with artists, galleries, and publishers, providing the highest standard in giclée printing, artwork scanning, canvas printing, and fine art greeting card production.
We are looking for a Fine Art Print Studio Coordinator to provide exceptional customer support, sales assistance, and administrative coordination while ensuring the smooth running of our busy print studio.
This is an exciting, varied role that combines client interaction, order processing, production coordination, and administrative tasks. If you are highly organised, detail-focused, and passionate about fine art, wed love to hear from you!

What Youll Do
Customer Service & Sales Support
Provide quotes to customers and proactively follow up on enquiries to boost sales.
Engage with new and existing clients via phone, email, and in-person to promote our services.
Manage client appointments for print consultations and artwork scanning.
Meet with artists and publishers at the studio to discuss and receive their artworks and orders.
Communicate with customers about order progress, delivery schedules, and payments.
Assist clients with online order processing and registration.
Resolve customer queries professionally and efficiently, providing comprehensive service-related information and advice.
Send digital artwork files to clients upon request.
Check and update the payment status of orders as well as handling card payments.
Build and maintain strong relationships with artists and art publishers.
Order & Production Coordination
Record orders for fine art printing and artwork scanning into our system.
Ensure accurate data entry, keeping detailed records of all client orders.
Liaise with the production team to ensure all project details and specifications are correct.
Check incoming digital artwork files for correct specifications before printing.
Coordinate and understand client deadlines to ensure orders are fulfilled and delivered on schedule, particularly for time-sensitive projects like exhibitions.
Monitor order status and keep customers informed throughout the process.
Ensure all orders are processed, dispatched, and invoiced accurately.
Work closely with our production team and assist with any questions they have to execute the job efficiently.
Administrative & Studio Operations
Strong administrative responsibilities, including order tracking, database updates, and documentation.
Handle inbound and outbound telephone calls and respond to customer emails.
Oversee stock levels and order materials as needed.
Liaise with suppliers and couriers to manage deliveries.
Send final invoices and ensure accuracy of charges and discounts.
Process payments and follow up on outstanding balances.
Arrange printer and machinery maintenance when required.
Manage incoming and outgoing post.
Maintain organised paper and digital filing systems.
Deal with any office issues on behalf of the team including liaising with suppliers, including couriers and clients.
Monitor and respond to emails and website enquiries with quotes and sales prospects.
Undertake general office admin.
Contribute ideas and insights to enhance our marketing initiatives.
Skills & Experience Required
Strong administrative skills, with experience in data entry, record-keeping, and maintaining organised systems.
Meticulous attention to detail, ensuring accuracy in order processing, invoicing, and customer records.
Ability to multi-task and manage time effectively in a fast-paced studio environment.
Excellent customer service skills with a professional and pleasant manner when dealing with clients.
Basic working knowledge of Adobe Photoshop.
Strong written and verbal communication skills, with the ability to draft professional emails and client communications.
Quick learner with determination to succeed.
Proactive and self-motivated, able to work independently and as part of a team.
Excellent IT skills, with the ability to quickly learn a new database and other software (all Mac-based).
Experience working as an assistant in a small business environment.
Strong organisational skills.
Strong verbal communication skills to professionally represent our brand over the phone.
Educational or professional background in fine art painting, drawing, illustration, digital imaging, or a strong appreciation of the visual arts.
