The role is pivotal in supporting the Director of Property and the Director of Customer Operations by efficiently managing various activities, including administration and organisation, and facilitating their daily schedules. By taking on these responsibilities, you empower the directors to focus on their core duties. Leveraging your judgment, initiative, and curiosity, you'll proactively engage with the directors to expertly manage their diaries. Your ability to make informed decisions and provide strategic recommendations will significantly enhance their time management, ensuring that critical deadlines are met and their time is utilised effectively. Diary & Calendar Management Coordinate diaries, prioritise appointments, calendar requests and handle last minute changes Organise meetings, calls and travel itineraries ensuring efficient use of time Ensure time sensitive and or critical reminders are communicated to Directors and their direct reports Travel and event coordination Book and arrange travel for both Directors, this includes flights, accommodation, trains and overseas travel for store visits, meetings and internal / external events Prepare travel itineraries, including confirmations, any meeting material required and contact information for both Directors Schedule, arrange and manage internal and external event requirements. This includes off site meetings, dinner reservations, team building events, development days. Including on site support and organisation where required. Communication: Serve as the first point of contact, screening emails and correspondence on behalf of both Directors Draft and/or respond to internal and external communications Assist with the management of emails for both Directors Organise and set up regular team meetings, teams calls, performance reviews Engage and collaborate with other PAs/colleagues responsible for Director/D’Of diary management. Meeting Preparation, support and follow up Pro-active administration of meeting actions and deadlines. Prioritise tasks/actions ensuring that important deadlines are met. Prepare agendas, take meeting notes, track and follow up actions to completion Flexibility to attend off site meetings and occasional site visits, sometimes at short notice. Other Administration/Support activities Manage annual leave administration on SAP for requests from Directors’ direct reports Management of Director mileage, expense and credit card claims in line with process Provide new starter support where required Supports Directors where needed on administering wider projects Obtain approvals for authorising company-wide invoices. Assist with any other ad-hoc duties including covering for other PA’s where needed Maintain high levels of confidentiality and discretion regarding sensitive information. Experience of previous Personal Assistant work Highly skilled in Microsoft Outlook – Calendar and Inbox Competent use of Microsoft teams and all MS365 applications Excellent Organisation Skills with the ability to manage priorities and task for two senior leaders Strong Communication, clear, professional and proactive in both written and verbal communication Flexibility and Adaptability, capable of adjusting to changing priorities and managing unexpected task What’s in it for You?
