Key Responsibilities: Case & Client Management: Take charge of client and case information, ensuring accurate management and organisation within the firm’s CRM system. Oversee all stages of legal file management, from opening to closure, ensuring accuracy and timeliness. Communicate regularly with clients and stakeholders, ensuring a smooth progression of cases. Take ownership of case matters, ensuring no file goes unattended for more than two weeks. Administrative & Secretarial Support: Transcribe and finalise dictation promptly and accurately, meeting deadlines with precision. Manage phone calls and greet walk-in clients with professionalism and warmth. Prepare, format, and file all legal documents and correspondence to the firm’s high standards. Collaboration & Client Service: Build and maintain excellent relationships with clients, colleagues, referrers, estate agents, financial advisors, and other legal professionals. Foster a collaborative, client-focused working environment within the firm. Uphold the firm’s reputation by maintaining the highest levels of professionalism, confidentiality, and attention to detail. Compliance & Best Practices: Stay up to date with legal and regulatory requirements, including Money Laundering, GDPR, and Compliance. Ensure compliance with workplace health and safety regulations. Demonstrate financial awareness, identifying opportunities for cost savings and managing expenses effectively. What We’re Looking For: Experience: Minimum of 2 years’ experience in a legal secretarial or administrative support role is essential. Skills: Exceptional organisational abilities, attention to detail, and the ability to multitask effectively in a fast-paced environment.
