Overview:
DES Energy is seeking an exceptionally driven and detail-oriented Procurement Coordinator. The successful candidate will manage the full procurement cycle, liaising effectively with suppliers, internal teams, and management to ensure timely material delivery, cost efficiency, and adherence to quality standards. This role also involves maintaining accurate records, monitoring stock levels, and ensuring effective financial oversight of procurement activities.
Key Responsibilities
Procurement & Supply Chain
* Maintain accurate procurement records for all current and upcoming projects.
* Raise purchase orders and attribute costs to the correct project codes.
* Liaise with suppliers to ensure material quality and secure the best purchase prices.
* Investigate and recommend alternative products or technologies to improve cost efficiency, reduce installation times, and enhance reliability.
* Communicate any procurement delays to Project Managers and Operations functions and propose suitable alternatives.
* Action weekly procurement lists from Project Managers promptly and accurately.
* Arrange and track hire equipment for operatives, ensuring timely returns to reduce expenditure.
* Comply with company quality standards in record-keeping and documentation.
Financial & Commercial Management
* Collaborate with the Financial Controller to manage material invoices and promptly resolve discrepancies.
* Ensure swift processing of returns and secure appropriate replacements or credit notes.
* Work with the Commercial Manager to negotiate and secure competitive pricing from wholesalers.
* Monitor settlement rates and assist in annual discount negotiations.
* Optimise delivery methods to balance cost and time.
* Inform the estimating team of any material price fluctuations to refine tender submissions.
* Assist with end-of-year stock assessments and maintain accurate job cost analysis spreadsheets.
Stock & Asset Control
* Manage and co-ordinate the Warehouse function
* Co-ordinate the Project Liaison Function to manage deliveries to site.
* Monitor stock levels, ensuring that materials are utilised effectively on-site.
* Check and record all deliveries, adding them to inventory and packaging any outgoing materials to maintain quality upon arrival.
* Track and manage DES-owned equipment, enforcing sign-in/sign-out procedures.
* Oversee the company vehicle fleet, including MOTs, servicing, maintenance, fuel cards, toll tags, congestion charges, and telematics.
General Duties
* Handle incoming phone calls and direct enquiries as appropriate.
* Undertake ad hoc tasks as required to support the broader business functions.
Candidate Profile
* Proficient in Microsoft Excel, Word, and Outlook.
* Experience with job costing software (e.g., SimPro) is desirable.
* Familiarity with Data Protection Act provisions and ability to apply them within the organisation.
* Background in the construction industry preferred.
* Excellent verbal and written communication skills with strong attention to detail.
* Capable of working under pressure and managing multiple deadlines.
* Adept at adapting to changing priorities and embracing new technologies or processes.
* Self-motivated, analytical, and solutions-oriented, able to work with minimal supervision.
* Organised, professional, and flexible, maintaining a calm demeanour under pressure.
