We are seeking a Depot Supervisor to open and run our new depot in Norwich. This significant role will include managing a small team of pharmaceutical multi-drop delivery drivers and the daily operational duties associated with this position. It will include a regular (2/3 times a week) delivery/on the road element. The successful postholder will ensure that the depot, staff members and activities conform to the business’s SOPs.
What will I be doing?
You will work cohesively with the senior management team, depots and other departments to ensure the business is compliant, and able to meet all GDP requirements and business KPIs. Your key remit will include the following responsibilities:
* Maintaining paperwork and keeping records up to date and ensuring that delivery targets are met.
* Dispatching all drivers, ensuring that the correct consignments are on the relevant routes and drivers leave the depot on time.
* Depot point of contact for all staff members; this may at times include other LF&E drivers or staff members regardless of direct line manager.
* Check and confirm driver hours and authorise timesheets weekly; check these against vehicle tracking data for consistency.
* Managing absence and return to work interviews including updating rotas and HR system in a timely manner accurately.
* Arranging cover or being cover for driver’s sickness to ensure medication reaches patients.
* Manage driver’s holidays and sickness and provide rotas, managing the number of available drivers to meet business requirements.
* Managing HR processes for all depot staff members. This includes but is not limited to:
o Obtaining statements for CAPAs or other purposes;
o Absence Reviews;
o Probationary Reviews;
o Performance Reviews;
o Disciplinaries;
* Ensuring that daily and weekly vehicle checks are completed, and all damages are reported, and all vehicles are maintained and roadworthy.
* Play an integral role when taking on new employees at your depot including but not limited to:
o Identifying needs for recruitment;
o Reviewing CVs;
o Being part of the interview process;
o Carry out inductions, effectively training staff members and assessments, managing new recruits ensuring all the relevant documentation and reviews are updated.
* Manage the daily depot and warehouse including:
o Cleaning;
o Goods In and Out;
o Improving the efficiency and standards of the team;
o Leading and motivating your team.
* Investigate and resolve any complaints.
* Working with the quality team to manage processes and changes to minimise errors.
* Check vehicle and warehouse temperatures, report any deviations to Quality.
* Ensure that Health & Safety procedures are adhered to by all staff and visitors whilst on site.
* Role modelling providing excellent customer service.
* Promote a healthy, positive and enthusiastic working environment.
* Training and development - This includes on the road training as well as classroom training and SOPs.
* Managing projects, programs or change.
* Multi-drop driving (2-3 times a week).
What Skills, Experience and Qualifications will I need?
* Communication, Influencing and decision-making abilities;
* Client focus;
* Planning and organising;
* Minimum of 2 years’ experience in a similar role is essential;
* Ideally, you would have some knowledge of GDP (Good Distribution Practices) & MHRA Guidelines;
* Experience of liaising with a Fleet department and looking after vehicles and vehicle safety;
* Experience of managing drivers;
* Knowledge of Health and Safety;
* Excellent communication skills with ability to communicate at all levels;
* Good methodical approach, attention to detail;
* Ability to work under pressure in a fast-paced environment;
* Self-motivated, committed, highly organised and efficient;
* Full driving licence.
