What's involved with this role: Temporary Senior Business Support Officer x2 - Children Services Reference no: Newcastle 6121315121277 Pay Rate: £13.93 per hour PAYE 35-37 Monday – Friday, normal working hours This opening assignment is for 3 months City: NEWCASTLE Minute taking skills and experience are essential for this role The first SBSO Role is to support the IRS and MASH Teams within Children’s Services, which is an extremely busy frontline service. Provide business and administrative support including call handling, undertaking data quality and admin tasks such as processing and uploading contacts and referrals within the Eclipse Social Care System, minute taking and some elements of financial processes. The second SBSO Role is to be based within the Long Term Social Work Teams, similar tasks outlined above but as one support to a dedicated Social Work Team. You will be in a team of 8 SBSO’s and provide a coordinated response to a Team of eight Social Workers. You will need to be able to work to strict timescales and be adaptable to regular changes of priorities throughout the working day. The successful candidate will be able to multitask, have excellent communication and customer service skills, and be able to work both independently and within a team environment. Key Responsibilities: Take part in identifying and implementing business process improvements. Contribute to the development, implementation, review and maintenance of business systems and processes. Mentor, advise and give guidance to business support staff. This includes demonstrating duties and allocating and overseeing work as needed. Deal with enquiries, including those of a complex and technical nature about the service and in line with our procedures and protocols. Prepare documents, including correspondence, reports and management information as needed. Work with nominated officers responsible for maintenance, repairs and security of designated buildings providing administrative support as needed. Organise and contribute to skills transfer activities to support business continuity and to continually improve our service. Give confidential, personal secretarial support including arranging and servicing meetings, preparing agendas and taking minutes as needed. Develop and maintain positive joint working relationships with relevant internal and external stakeholders. Give a professional and courteous reception service as needed. Account for, reconcile and make sure of the security of stock, petty cash or cash equivalents in line with Financial Regulations. Qualifications: 5 GCSE’s or equivalent, including Maths and English. Knowledge: Clear knowledge and ability to demonstrate discretion and handling of highly confidential information. Excellent working knowledge of Microsoft applications and council’s IT systems. Understanding the need to maintain confidentiality. Experience: Experience of providing high level administrative and business support in a busy, frontline environment. Experience of developing and maintaining positive working relationships with customers, officers and stakeholders. Experience of coaching and mentoring by providing advice and guidance. Skills & Abilities: Excellent organisation and time management skills whilst working to challenging deadlines. Ability to demonstrate delegating tasks on behalf of appropriate Member / officer.
