Position Overview: We are seeking a dynamic Vehicle Fleet Administrator to join our team! In this critical role, you will be at the forefront of managing our vehicle fleet-related activities. Your day-to-day responsibilities will involve seamless collaboration with company drivers and internal and external stakeholders to enhance our operational capacity and uphold our safety strategies. Moreover, ensuring our fleet operations align with relevant regulatory compliance will be pivotal. Job Description:
Major Job Functions:
1. Responsible for the coordination of company fuel cards and review of fuel transactional spending data.
2. Processing fleet-related documentation and raising purchase orders.
3. Accountable for maintaining accurate records of all fleet data, including asset and driver records and ensuring any relevant third-party portals are maintained in line with both company and data protection requirements.
4. Assist in the production and distribution of fleet reports.
5. Project support and administration tasks as required.

Specific Skills:
1. Previous experience in a similar role within a similar industry environment (desirable).
2. Good interpersonal skills and ability to communicate with people at all levels.
3. Proficient in MS Office (particularly Excel and PowerPoint) – ability to work with large datasets.
4. Good time management and prioritization.
5. Collaborative approach to team working.
Accountability:
1. Accountable for a regular review of the live card list and monthly review of fuel transactions.
2. Preparation of fleet monthly dashboard.
3. Raising purchase orders and analysis of fleet invoices for accuracy, raising queries where required.
4. Review of short-term rental bookings to ensure timely off-hire.
5. Maintenance of fleet data on all relevant datasets, portals, spreadsheets, etc., including (but not limited to) master asset list, licence check portal and tolls/tags.
6. Processing of vehicle fines / recharges.
7. Company car-related activities.
Education & Experience:
1. Office experience, proficient with MS Windows and related packages.
2. Champions for Safety.
3. Health and Safety Management qualification (desirable).
