Overview of the Job
This is an administrative job within the National Probation Service (NPS). The jobholder will provide administrative support, ensuring that staff and service users are supported through efficient processes while maintaining administration systems within specified timescales to promote the achievement of team and Divisional objectives.
In line with NPS policies and procedures, the job holder must demonstrate a commitment to equality and inclusion and understand their relevance to the work they do. This role may involve some out of hours work, and the post holder must adhere to all policies regarding the sensitive/confidential nature of the information handled.
Responsibilities, Activities & Duties
The job holder will be required to carry out the following responsibilities, activities, and duties:
1. Set up and maintain accurate offender and victim information on relevant approved databases.
2. Ensure effective administration of referrals and relationships between offender management, victims, interventions, service providers, and external agencies.
3. Prepare, maintain, and collate case and other records, files, and management information.
4. Receive and distribute information and communications appropriately.
5. Provide cover for an effective reception and telephone enquiry service.
6. Act as a single point of contact within the unit for a specialist area of work as required.
7. Deal fairly and effectively with a range of Service users, some of whom may be in crisis or display inappropriate behavior.
8. Make practical arrangements such as appointments for the implementation of the Sentence Plan.
9. Carry out enforcement administration as required.
10. Issue petty cash/vouchers/warrants for travel costs as necessary.
11. Organize the availability of appropriate equipment and materials for activities.
12. Report faulty equipment and/or materials to Manager.
13. Maintain appropriate systems to ensure effective use of general unit resources.
14. Undertake specific Visor administration tasks as required.
15. Attend meetings and provide support as required.
16. Ensure all activities are conducted in accordance with Health and Safety policies.
17. Provide cover within the unit and to other units as appropriate.
18. Carry out safeguarding children duties in accordance with NPS responsibilities.
19. Demonstrate pro-social modelling skills by reinforcing pro-social behavior and challenging anti-social behavior.
20. Work within the aims and values of NPS and NOMS.

Working Arrangements & Further Information
The MoJ offers Hybrid Working arrangements where business need allows. This role can only be worked in the UK. Some roles may not be suitable for Hybrid Working. Arrangements will be discussed with the successful candidate(s).
