Main Purpose of Job
The HR Coordinator will support the Head of HR in delivering the HR strategy across Innovus through being immersed in the HR team. Although an administration role, the ideal candidate will have a passion and understanding of all areas of HR. This role will act as support for all areas including Recruitment, HR Advisory, Internal Communications, and Learning and Development, as well as:
* Providing administrative support and advice across the full employee lifecycle to the HR Services Team and to the wider business. You will work as part of an expert team responding to daily queries and being an integral part of the Innovus HR team in the delivery of a first-class service to the business.
* Acting as the first point of contact for all HR enquiries across the organisation and advise accordingly, with a great people experience mindset.
Position in Organisation
The role reports to the Head of HR and does not have any direct reports.
Main Responsibilities
* Administer on-boarding of new starters including pre-employment checks and contracts, maternity leave letters, process leavers and job changes.
* Ensure all data is accurately entered and processed within the deadlines for monthly payroll.
* You will act as tier one contact for employee queries relating to the employee lifecycle via email or Microsoft Teams, escalating where appropriate and working with the team so all queries are responded to within a timely manner.
* Responsible for filing of employee contractual documents and ensuring all records are uploaded to the employee SharePoint file.
* Working with and providing support to the wider HR team including Payroll, Reward & Benefits, Recruitment, HRBP, and HR advisors.
* Answering and resolving employee queries via our ticketing system Manage Engine and in line with the team’s SLAs.
* You will act as subject matter expert for employee enquiries relating to the employee lifecycle, escalating where appropriate and working with the HR Team Leads so that all queries & requests are responded to within a timely manner.
* Manually add and allocate new joiners on the monthly tracker.
* Working closely to identify any gaps in our processes, suggest new procedures and continually strive to improve our service.
* Run monthly system report within SharePoint/ad hoc reports e.g. Manage Engine.
* Run monthly system reports for RTW and manage the Visa process.
* The above actions are not exhausted and ad hoc administration tasks/projects as may be required.
Experience and Qualifications
* Previous experience working in HR or a people-centric role.
* Experience working with HRIS, HR Ticketing System (Manage Engine).
* Experience of relationship and customer stakeholder management.
* Have an eye for accuracy & attention to detail whilst maintaining pace in order to meet agreed service delivery deadlines.
* Good understanding of HR policies and procedures.
* Self-motivated, flexible and experience of using initiative in problem solving, whilst taking responsibility for own workload.
* Ability to build meaningful rapport at all levels and work under pressure.
* Confident, articulate communicator – both orally and in writing; able to build influential and engaging relationships with all colleagues, from site-based colleagues to directors to stakeholders.
* Excellent IT skills, and keep up to date with new technology.
