Our client is seeking a dedicated and detail-oriented Administrator to join our dynamic team. As an Administrator, you will play a crucial role in supporting our Contracts Managers and assisting with project-related administration.
Job Responsibilities:
1. Working directly with the Contracts Managers to provide administrative support.
2. Assisting Contracts Managers with all project-related administration tasks.
3. Obtaining quotes from suppliers and placing orders/call-offs for projects, ensuring adherence to the Procurement Schedule.
4. Creating health and safety files, risk assessments, and method statements.
5. Producing and continuously updating operation and maintenance (O&M) manuals, ensuring proper registration of certificates with the appropriate authority.
6. Dealing with incoming pre-qualification questionnaires (PQQs) and maintaining existing approved status with our clients.
7. Managing the Sub-Contractor Database and ensuring supplier insurances are up to date.
8. Assisting in the maintenance of office systems, including data management, databases, spreadsheets, and filing.
9. Providing administration support to the Directors and Administration Team Leader.
10. Liaising with the design team to coordinate project deliverables effectively.
11. Maintaining the office diary system and client database.
12. Monitoring emails for nominated members of staff when they are not in the office.
13. Handling general administrative and office duties, including screening phone calls, inquiries, and requests in an appropriate manner.
