Role Purpose: The role is key to the effectiveness and efficient functioning of the service, therefore will require robust organisational, communication skills and a positive approach to customer service. Your key responsibilities will be: ABl Wirral provides Tobacco Prevention and Stop Smoking Services throughout Wirral in a variety of settings. The post holder will support the smooth operation of a range of support processes across ABL`s Stop Smoking services and systems. These will include referral processing, appointment booking, processing practitioner stop smoking medication orders including stock control, checking and auditing. Stock management of promotional material, service delivery consumables and other office requirements. Duties and Responsibilities Understand Stop Smoking Services. Take calls from clients and deal with clients needs accordingly. This will include providing robust Brief Intervention to clients who may have been referred to the service. Ensure client referrals are processed within set timescales to meet service deliverables. Book appointments for clients or direct them to the appropriate practitioner, providing them with robust advice about quitting smoking where appropriate. Take telephone calls from other health professionals. Providing professional administration services to clients. Manage and maintain confidential patient files on a database and paper records as required. Record client data accurately on appropriate service database. Understand and make use of spreadsheets to present necessary data when required by the office manager or service manager. Type correspondence, reports, and other documents. Post or email in a timely manner. Process stop smoking medication orders from practitioners in a timely manner and record accurately on the stop smoking database. Process stop smoking medication orders via e-mail from Practitioners from other ABL stop smoking services in a timely manner, and record allocation on required data files and the stop smoking database, as well as package and post accordingly. Assist with the stock control, checking and auditing of stop smoking medications. Stock management, ordering and distribution of promotional materials to all professionals. Stock management of service consumables. Prepare computerised documents and reports as required. Organise meetings including the taking of and distribution of minutes. Organise venues for training and events including the preparation of resources on behalf of the office manager and service manager. Process invoices for payment and input required records, i.e spreadsheets General administration (record keeping, filing etc.). Directly line manage a small team of administrators You will be motivated and be able to work as part of a team and alone, using your own initiative to ensure high quality services are delivered.
