Job overview
NBTs device assisted therapies (DAT) service for movement disorders provides the five DAT available to people with Parkinson’s disease as well as deep brain stimulation (DBS) for people living with dystonia or tremor. The 5 DAT are: 1) DBS, 2) Duodopa, 3) Apomorphine and NBTs soon to be initiated services to provide, 4) Produodopa and 5) Lecigon. NBTs Duodopa service is the largest in the UK by a factor of two and is the provider for the entire Southwest of England. The DBS service is, along with UCL and Oxford, one of the three largest providers of DBS for movement disorders in the UK. NBTs DBS service provides for the entire southwest peninsular, Dorset, parts of the West midlands and South Wales. The Apomorphine service covers BNSSG plus Sommerset and Gloucester. The Produodopa service will provide for BNSSG as well as Somerset, Gloucester and Wiltshire and the Lecigon service will provide for all the Southwest of England.
This role involves coordinating activities across the Bristol Brain Centre and regional neuroscience hubs, integrating neuropsychiatry, neuropsychology, and anaesthetics into the MDT to deliver the five separate patient pathways for all five DAT.
This role will support the coordination of a pan regional/cross bi-national DAT service for movement disorders. The appointee will oversee the coordination/integration of the MDT, comprising over 25 members, consultants, nurses, and industry professionals.
Main duties of the job
* Supporting the development and refinement of patient pathways.
* Managing patients through complex treatment pathways.
* Implementing quality improvement measures to enhance efficiency and care outcomes.
* Database management and quality audits.
* Providing reports, ensuring compliance with national standards.
* Engaging with a broad network of referrers across the Southwest, West Midlands, and South Wales.
* Coordinating educational initiatives for clinicians and patients.
* Managing patient support groups and collaborating with organizations like Parkinson’s UK and Cure Parkinson’s.
* Maintaining accessible resources, including developing a dedicated website.
* Ensuring operational excellence and supporting the smooth running of the MDT.

As well as running clinics, administering infusions, and providing specialist physiotherapy, the centre is a hub for research, and patients who are taking part in clinical trials may visit here for consultations and treatments.
Detailed job description and main responsibilities
* Responsible for the efficient collection of Advanced Therapies Waiting Times and minimum datasets.
* Provide administrative facilitation to MDT meetings.
* Record attendance at team meetings accurately.
* Provide general administrative duties to the MDT teams.
* Prepare regular reports to the clinical team on their performance.
* Represent the Trust at local, regional and national Movement Disorders information meetings.
* Work with information analysts to produce reports and validate data.
* Ensure sufficient cover at all times.
* Work with Clinical Admin Manager to ensure key performance standards are met.
* Ensure all specialty referrals are managed in accordance with the Trust’s Waiting List Policy.
* Co-ordinate specialty waiting lists within the framework of the Trust’s Waiting List Policy.
* Escalate concerns regarding capacity & patient pathway issues.
* Work with service line management team to develop administrative procedures.
* Ensure required documentation and clinical care plans are available for newly commissioned advanced therapy treatments.
* Ensure required monitoring for people with Parkinson’s treated with newly commissioned advanced therapy treatments.
* Prioritise own workload including typing of clinics and medical reports.
* Ensure effective communication with all members of the multi-disciplinary team.
* Sort and deal with all correspondence, keeping a satisfactory record and filing system.
* Collate results with patient casenotes and ensure timely actions.
* Take appropriate actions with regard to telephone calls from patients and other agencies.
* Maintain an up to date diary for the Consultants/team.
* Obtain hospital casenotes and x-rays when required.
* Ensure timely dispatch of clinical letters to GPs.
* Maintain good working relationships with Clinicians and staff.
* Assist in the training of newer members of the team.
* Work flexibly as part of a team.
* Communicate with other MDT co-ordinators and waiting list co-ordinators.
* Obtain results ensuring timely actions.
* Ensure that all results, reports and letters are accurately filed.
* Provide other secretarial assistance to the team as required.
* Support the development and administration of a quality improvement and audit plan.
* Providing administrative support for educational events.
* Budgetary awareness associated with clinical activity.

Person specification
Education/Training/Qualifications
* RSA 3 or above, or equivalent.
Knowledge Skills and Abilities
* Excellent organisational skills.
* Demonstrable ability to use all main software packages.
* Use of PowerPoint.
Work Experience
* Demonstrable experience as a medical secretary.
* Proven experience of patient management systems.
* Proven ability to work as part of a team and independently.
* Previous demonstrable supervisory experience or a qualification in supervisory skills.
