Position Summary: The EDMS Coordinator plays a crucial role within our Information Management (IM) project team, reporting to the IM project lead or the EDMS Controller. This position involves developing, implementing, and supporting the Electronic Document Management System (EDMS) tools deployed on the project. The ideal candidate will ensure compliance with Exchange Information Requirements, work in accordance with the UK BIM Framework, and possess a solid understanding of BS EN ISO 19650.
Key Responsibilities:
* Provide superuser support for the project EDMS, including configuration of workflows, security groups, and custom fields.
* Troubleshoot project-specific EDMS issues, escalating to vendors when necessary.
* Collaborate with the IM team to develop and implement approved EDMS tools, create supporting documentation, and conduct training for the team.
* Support project reporting activities using data from the EDMS.
* Coordinate and manage onboarding and access for the project team and supply chain to EDMS tools, adhering to information security protocols.
* Stay current with new modules and updates in the EDMS.
* Assist in project document management/control tasks under the direction of the records manager, ensuring accurate and efficient preparation and management of documentation in accordance with agreed standards.
* Develop and support the implementation of digitization of forms within Trimble Viewpoint Field View.
* Contribute to the future development of EDMS to support project tasks, such as snagging.
Qualifications and Experience:
* Strong experience working on projects within one or more AEC (Architecture, Engineering, Construction) disciplines.
* Solid experience in the use and configuration of EDMS, specifically Bentley ProjectWise, Trimble Viewpoint For Projects, and Trimble Viewpoint Field View.
* Strong team working capabilities with a good understanding of engineering and construction work processes.
* Self-motivated and results-focused, with the ability to work with remote supervision.
* Problem-solving and conceptual thinking skills, with proficiency in working with EDMS systems.
* Excellent written and oral communication skills, fast learner with keen attention to detail, proficient with standard office software.
* Ability to effectively communicate, train, drive change, and implement improvements.
* Remote working – willingness to work from the office/site as required.
