Petroineos Trading Limited is a trading and refining joint venture between INEOS and PetroChina International (London) Company Limited founded in 2011, with its headquarters based in London. The trading activity is structured around asset-driven and entrepreneurial trading teams in Oil, Refined Products, Gas, Power, Emissions and LNG.
As a Receptionist at Petroineos, you will be the first point of contact for visitors to our London office, and will play a key role in the day to day running of the office. This is a 12-month FTC position.
Responsibilities
* Welcoming guests in a timely and professional manner including delegations and VIP visitors;
* Ensuring that all external guests have been pre-registered on the building Visitor Management system. Contacting hosts and advising of guest’s arrival and escorting the guests to meeting rooms when required;
* Operating the main switchboard and answering external and internal calls in a polite and confident manner;
* Booking lunches and arranging refreshments for internal and external meetings as required; including office weekly sandwich lunches, weekly fruit and milk deliveries;
* Devising and maintaining office systems, conference room facilities including liaising with IT Customer Support regarding any videoconferencing issues;
* Handling queries via phone, email, general correspondence and face to face with employees from other departments and external contacts;
* Carrying out stock check for stationery and catering supplies for conference rooms and kitchen areas in the office and providing weekly updates to the Office Manage to ensure stock levels are always maintained and supplies can be replenished;
* Receiving, sorting, distributing and dispatching daily mail and couriers;
* Organising access badges for new starters and temp passes;
* Assisting employees with any Facilities related queries and directing them to the Facilities team. Liaising with onsite cleaners, building maintenance and building security via email and on the building online portal;
* Ensuring the Reception area is always clean, tidy and presentable;
* Liaising closely with the Integrative team regarding any ad hoc issues, including but not limited to events planning, delegation support.
Qualifications
* Previous receptionist experience from a corporate background required i.e. financial services or equivalent
* Proven and demonstrable experience in a relevant role
* Excellent communication and interpersonal skills
* A good level of English spelling and grammar
* Proficient with Microsoft Office and possess good typing skills
