A bit about the job:
As an Executive Assistant, you will play a pivotal role in organizing and coordinating high-level meetings, conferences, and events, while providing essential administrative support to ensure smooth operations. Your key responsibilities will include:
1. Facilitating communication between the executive and both internal and external stakeholders.
2. Managing and prioritizing senior leadership calendars.
3. Scheduling appointments and meetings with a keen eye for deadlines.
4. Handling sensitive and confidential information with the utmost discretion.
5. Maintaining the integrity of data.
6. Highlighting upcoming cyclical and management deadlines for reports, reviews, and budgets.
7. Following up with teams to ensure timely completion.
Skills and experience we’re looking for:
* Strong organizational skills with the ability to take ownership of tasks, manage competing priorities, and anticipate potential risks while identifying solutions.
* Ability to stay focused and efficient in fast-paced environments, while remaining engaged with team members and stakeholders at all levels.
* Skilled at managing communication with senior leaders, internal and external stakeholders, and customers, while maintaining discretion and professionalism.
* Demonstrated ability to solve problems independently.
* Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with your aligned Market/Function to support day-to-day operations.
What you’ll get for this role:
* Starting salary circa £38,000 (depending on location, skills, experience, and qualifications)
* Bonus opportunity: 8% (C grade) of annual salary. Actual amount depends on your performance and Aviva’s.
