Summary
Portsmouth Hospitals University NHS Trust are looking to recruit four apprentices to support the Diagnostic Imaging department. The successful candidates will learn to provide vital support to ensure the smooth of the department; ensure appropriate booking of clinic lists and provide a high standard of service for patients.
Wage
£14,722.50 a year
The apprenticeship wage will be paid for the first twelve months of employment, this will then be adjusted to minimum wage for age for the remainder of your apprenticeship.

Monday - Friday, 08:30 - 17:00 with 1 hour lunch break. Upon successful completion of the apprenticeship and after the commencement of the permanent role then there will be some evening and weekend work.

Work
As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
Key responsibilities will include:
Customer Care
* Answer calls promptly and professionally, offering empathy and reassurance when needed.
* Handle enquiries from other departments and external organisations.
* Report any system issues or areas for improvement.
* Work as part of a team to meet departmental goals
Reception & Administration
* Log and process patient referrals.
* Greet and guide patients according to department protocols.
* Schedule and manage patient appointments, ensuring necessary preparations are made.
* Maintain consultant booking records and patient information.
* Contact patients to arrange or update appointments as needed.
Information Management:
* Monitor the Priority Treatment List to ensure patients are seen on time.
* Accurately record and update patient data, and produce reports.
* Handle medico-legal requests and submit billing information when necessary.
* Share patient details with relevant authorities (e.g. social services) as required.
Additional Duties
* Track and distribute records within the department.
* File documentation (both digital and paper copies).
* Ensure Radiologists and Radiographers have the necessary documentation for imaging and reporting.
* Provide support for departmental coverage, including weekends and bank holidays.
* Handle challenging situations, such as dealing with distressed or upset patients, professionally.

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Your training plan
The apprenticeship is being supported by our training partner, HTP Apprenticeship College.
You will be assigned an Apprenticeship Coach who will support you to achieve the Level 3 Business Administrator apprenticeship standard.
You will be developing Knowledge, Skills,and Behaviours in the following areas:

As part of the Off-the-job training, you will complete a portfolio of evidence, attend online workshops, have time to study independently, undertake research and write assignments.
The apprenticeship is assessed independently at the end of the practical training. The assessments include an online multiple-choice test, a business project and presentation and a professional discussion based on a portfolio of evidence.
The training will generally take place in the workplace and you will be given protected study time to complete your apprenticeship assignments and portfolio.
