Commercial Assistant – Environment
Location – Southampton
Purpose of the Role:
Within the Environment Business Division (Water and Waste Water Non-Infrastructure Engineering and Construction), an opportunity has arisen for a Commercial Assistant / Administrator based in the Southern Water Framework. You will be located in the Southampton Area primarily based on the key project site office for a large cross-country pipeline project. We are looking for candidates who are experienced admin/cost assistant professionals that want to be part of a growing team and make a difference.
Key Responsibilities:
* Assist with preparing records, retrieving documentation, and interfacing with the cost system.
* Maintain accurate paper and computer-based records to ensure protection from disallowed costs.
* Produce correspondence, documents, and presentations to specification using a variety of media.
* Maintain established paper and computer-based filing systems for correspondence and communications.
* Take minutes and actions as required for commercial meetings.
* Conduct financial duties, for example, processing invoices or tracking costs.
* Ensure allocation sheets, timesheets, labour records, material records, weekly plant returns, and daily diaries are maintained and securely stored, including upload to IT sharing platforms.
* Work in accordance with established processes and provide feedback on their effectiveness.
* Maintain Registers including Correspondence & Addendum registered.
* Ensure all operatives and staff are logged in at site security to maintain an accurate record of work and ensure these reflect the allocation sheets.
* Simple Subcontract payments.
* Other administrative duties as requested.
* Process applications for payment as directed.
* Produce reports, cost downloads, pivot tables, etc. as directed by the Commercial Team.
* Check data for consistency & address any anomalies as they arise.
* Understand performance metrics and measurement of KPI’s as required.
Experience and Qualifications:
* Literate and numerate with proficiency using Microsoft products and other office applications.
* Good organisational skills and time management.
* Demonstrable knowledge of operating office equipment and IT systems.
* Successful experience of working in a general administration support role.
* Experience working with CEMAR (Desired, not essential).

* Excellent interpersonal skills including verbal and oral communication.
* Assess information within normal areas of responsibility; question evidence and findings to highlight and communicate issues.
* Demonstrate a rational approach to decision making, assessing data within laid down guidelines; discuss problems/issues and suggest possible solutions.
* Be willing and have the desire to improve on current situations. The capacity to review actions and identify and communicate efficiency/process improvements.
* Ability to take notes/minutes that are both legible and structured.
* Good time management, scheduling skills including prioritization and document control.
* Able to work under pressure.
* Willingness to learn.
* Ability to grasp concepts and retain information.
* Accuracy and attention to detail.
