We are currently recruiting to fill the following full-time vacancy in our UK Head Office in Chalfont St Peter, Buckinghamshire Executive Assistant You will provide high level support to the Managing Director and Finance Director with day-to-day operations, maintaining the smooth running of the office and supporting the Finance Director with facilities management, health & safety, security and managing insurance policies, whilst ensuring that the Companys standard of service is met and adhered to at all times. Main Duties: Coordinate and manage the MDs & FDs challenging diaries and conflicting demands on a priority basis Manage and respond to e-mail correspondence on behalf of the MD & FD Organise travel arrangements including booking flights, trains, accommodation and transfers Prepare correspondence and presentations ensuring attention to detail and accuracy Prepare statistics and assist with the preparation of budget documents whilst working to tight deadlines Liaise with HQ on behalf of the MD & FD Collate and submit expenses in a timely manner General Secretarial Duties Assist with, and attend, company events and exhibitions Support other Directors and Managers with miscellaneous tasks when required Oversee the companys facilities management Point of contact for the companys health & safety Point of contact for the companys insurance brokers Point of contact for the companys security Point of contact for the companys IT and telephone support Other ad hoc office administration as required What we are looking for: Proficient working knowledge of Word, Excel & Outlook is essential Knowledge of SAP is desirable Attention to detail with excellent numeracy and literacy skills - accuracy is critical Problem solving & analytical skills Excellent written & verbal communication skills Ability to read and interpret financial documents, such as spreadsheets and invoices Ability to work under pressure and manage multiple tasks simultaneously Proactive approach and ability to work well on your own initiative as well as part of a team Ability to set and meet deadlines and e ffectively manage own time and productivity Keeping a high standard of appearance and personal hygiene Have an enthusiastic and positive personality Must hold a valid passport The company receiving a Criminal Record Check (DBS) which it considers satisfactory Hours and Benefits: 9am 5pm Monday to Friday, office based in Chalfont St Peter. 22 days annual leave (rising to 30 days with length of service) plus UK bank holidays and Christmas shutdown Company Pension (8% employer, 3% employee), salary sacrifice optional Private Healthcare and Dental Care Life Insurance and long-term sickness benefit after two years of service Competitive salary plus a good range of company benefits To apply please send your CV and covering letter Due to the volume of applications received, only those selected for interviews will be contacted.
