Data Clerk, Band 3 - Department of Critical Care

An opportunity has arisen for an enthusiastic individual to join our team as a Band 3 Data Clerk within the Department of Critical Care. The post is a cross site post but based predominantly on the Gloucester site. The successful applicant will assist in the capture and reporting of data pertaining to the Critical Care service as well as lead on improvements and progression of data collection.
Duties will include the timely and accurate recording of clinical data ensuring that it is collated and validated for the purpose of submission to the Intensive Care National Audit and Research Centre (ICNARC) and facilitate local funding via collection of Critical Care Minimum Data Set (CCMDS). The data from ICNARC is used to benchmark Critical Care Units nationally and analyse best practice, improving outcomes and experience.
Additional working pattern details: The hours can be worked flexibly but won't carry any enhancements.

Main duties of the job
1. To be responsible for the provision of comprehensive data for the Department of Critical Care (DCC).
2. To work collaboratively with the data collection team in order to deliver high quality data to support the overall development of improved performance and service delivery for DCC.
3. To co-ordinate the administration, collection, verification and completion of all critical care patient released data for the purpose of audit.
4. Specifically responsible for overseeing submission of data to the Intensive Care National Audit and Research Centre (ICNARC) programme, and to facilitate local funding via collection of the Critical Care Minimum Data Set (CCMDS).
5. To collect and provide systems to ensure the accurate recording of all patient-based episodes through Critical Care, utilising both computer and paper-based systems.
6. To provide data for the Critical Care clinical and management teams to facilitate analysis of data required to present service outcomes, identify trends, also to prepare monthly reports on unit activity / occupancy.
7. To be responsible for a portfolio of data collection to meet local, regional and national priorities, ensuring the agreed targets are achieved and excellent quality of data collection.
8. Ensure the workload is carried out efficiently within the required timescales, dependent on the ever-changing needs of the service.

This is an opportunity to join the Department of Critical Care as a Band 3 Data Clerk at 12hrs per week.
Job responsibilities
1. To ensure seamless provision of data and meeting of time scales for data submission.
2. Responsible for ICNARC and all Critical Care data sets including the database.
3. Organise and maintain the systems responsible for the collection of all data required for the Case Mixed Programme on all patients admitted to DCC, ensuring that it is accurate and complete, using the appropriate software.
4. This involves the extraction and interpretation of information on patients 24 hours charts and laboratory data results from Electronic Patient Records (EPR).
5. Collect all Augmented Care Period data, non-clinical transfers and other information required on all patients for the information department to enable them to produce this information for the Department of Health.
6. Provide reports and data for the South West Critical Care Network (SWCCN).
7. Assist with new national datasets, with a requirement to support clinical audit, business cases and service developments within DCC by pulling specific data that is required by medical, nursing and AHP.
8. Ability to assist and lead in Medicus upgrades and testing with the support of the clinical lead.
Data Quality
1. Organise, undertake and oversee the collection, analysis, reporting and quality assurance of data relating to the work of DCC.
2. Continuously monitor data quality and compliance with quality assurance indicators.
3. Verify the accuracy of the data collected, making the necessary corrections, ensuring prompt completion of the ICNARC data validation report.
4. Ensure that all data is kept securely and in a manner that maintains the confidentiality of staff and patients at all times.
5. Work autonomously with the workload demands, demonstrating an ability to prioritise regular critical deadlines with frequent ad hoc requests for data.
6. Inform line manager when agreed targets are not being achieved.
7. Participate / assist in the data management upgrades.
8. Provide induction teaching of all new nursing and medical staff into the collection and completion of all required data.
9. To maintain the appropriate recording and storage of all critical care specific 24-hour charts and enable a smooth retrieval and return to storage.
Person Specification
Qualifications, Knowledge and Experience
* Educated to GCSE level grade C or equivalent in maths and English.
* Working towards a Diploma or NVQ Level 3 in administration or equivalent experience.
* ECDL Holder or ability to demonstrate ability to use a wide range of hardware and software.
* Evidence of building effective working relationships and supervisory experience.
* Ability to maintain a high level of accuracy and attention to detail when inputting data.
* Expert IT skills and experience including TRAC, EPR, MS Office and Trust internet.
* Able to work under pressure, whilst multi-tasking and meeting deadlines.
* Excellent organisational and communication skills to manage own workload.
* Self-motivated and able to work under own initiative and prioritise workload.
* Team focused, ability to work collaboratively and always underpinned by kindness and respect towards others.
* Demonstrate experience in electronic data-handling.
* Knowledge of medical terminology.
* Ability to lead on new national datasets.
* Ability to support new data staff to ensure effective service delivery.
* Ability to work flexibly to meet the needs of the service.
