We have two role s w ho w ill give support to the new ICLT of the standalone ice-cream company. Comprising of 8 Directors a separate location, new office moves and new company that will be hosting and coordinating customer events throughout the year both on location and off location, these roles require supporting 4 Directors each come with expanded responsibilities of event coordination and new IC office location day to day management. To accelerate our journey as a separate company, we are looking for the best administrative talent, passionate people who love to coordinate events, manage office logistics and locations and who are empowered to get the job done with speed, professionalism and passion. These roles are the backbone of the ICLT ensuring they leaders of the new company are supported both in administrative and strategic tasks such as T2T global, customer and supplier meetings. JOB PURPOSE Th ese role s are an exciting opportunity for someone who is loves to support, help and care for others. We are seeking energetic, results-driven ice-cream lover s with proven PA and event coordination skills and to support the UKI ICLT leadership team. Passionate to p rovide the highest level of administrative and organizational support to the ICLT, other executives and confident in engaging with external customers i n a fast-paced, quickly changing environment. Th ese position s will manage the ICLT s calendar, travel, expense reporting, meeting coordination and prep. Beyond this, the role will play a critical function in organizing and sharing communications within the new ice-cream company, and be event leads for sales conferences, customer meetings, trade window sell-ins and any global or European visits. The successful candidates will also take the project lead for the new IC company office location (still TBC) and will ensure office design, furn iture layouts and execution in line with new design principles of new company. Commit ted to ongoing personal and professional development by actively participating in training and development offerings and supporting the UKI HR team in all learning, development and team building culture activities throughout the year. RESPONSIBILITIES Prioritize and schedule meetings on behalf of the ICLT, and other executives. Manage all calendar entries and act as point of contact for inside and outside of new ice-cream company Oversee the detailed coordination and booking of travel and all travel related itineraries. Act as a point of contact for Communication within the ice-cream company and the rest of the organization and w/ third parties. Ensure timely and effective communications are established including editing and updates to presentations and external communications. Manage the planning and logistics for key community meetings, training sessions, leadership team meetings as well as the annual planning process Organize T2T customer meetings – arrange location, travel, accommodation, AV, meals etc Coordinate the on-going tracking and management of overhead travel budget s Complete and submit all OH expense reports on a timely basis; including ensuring direct report expenses are reviewed and approved on time. Project coordinators for new ice-cream office location, design, transition and implementation Lead communication coordinators for HR learning, events, team building activities and development programmes Organizes local and international workshops, conferences, trainings and meetings and provides support to international visitors. QUALIFICATIONS Relevant years of secretarial background supporting a large team at Board or Executive Level Advanced in MS Office Suite, Expert with Tele-conferencing and Video-conferencing support Proven ability to organize seminars/workshops with attendees from across the region; and to provide support to Managers who are traveling, remotely. Essential personality traits include passionate, energetic, interactive, self-motivated, IT literate, must be able to prioritize, highly organized and good interpersonal skills, committed, resilient under pressure.
