Our Office Support team continues to grow and we are now looking for an Office Support Administrator to join our vibrant Belfast office. This is an exciting role and would most likely suit someone with previous experience in a similar support role.
The Team
The role is varied providing office-based support to the Support Team which will include general office duties, ad-hoc reception cover/duties, the post room and looking after our onsite client meeting rooms.
This role will report directly to the Office Manager.
The Role
As an Office Support Administrator with XPS you will:
* Work closely with the Office Manager to ensure the smooth running of the office.
* First aid and Fire Marshall training will be provided to support the Office Manager.
* Create and manage spreadsheets and documents using Microsoft Office packages to Company standards/templates.
* Book train tickets, flights and accommodation for staff travel.
* Sort post on a daily basis.
* Be actively involved in the Social Committee, arranging social events and managing the committee to do this.
* Print documents, collating them into packs for meetings and binding them using a wire binding machine.
* Create mail merges using Microsoft Word. Printing, stuffing and franking of mail shots.
* Reception support. Covering periods of annual leave or other absence. Adhoc assistance will also be required during busy periods. Reception duties are as follows:
o Sorting of incoming post. Franking of outgoing post.
o Arranging couriers.
o Ordering external catering for meetings.
o Dealing with incoming and outgoing archiving. This will involve some manual handling.
o Answering incoming phone calls and taking messages.
o Admitting visitors, signing them in and notifying the host.
o Acting as host for meetings, preparing drinks, laying out lunches, taking coats and assisting guests.
o Ensure client meeting rooms are clean and ready for occupation. This will involve clearing away after refreshments.
o Issuing of security cards, permanent and visitor.
* Department and project coordination including monthly billing.
Your profile
Essential Criteria
* A-C/9-4 GCSE Maths and English, or equivalent.
* Demonstrable knowledge of Microsoft Excel, PowerPoint and Word.
* Flexible and able to adapt to changing environments.
* Ability to multitask and work in periods of calm and high activity.
* Excellent coordinating and organisational skills.
* Confidence and ability to raise awareness.
* Good common sense.
* Diplomatic and friendly.
* Ability to communicate exceptionally well; a high standard of written and spoken English.
* Must be proactive, adaptive and take initiative.
* Must be willing to learn, flexible and a team player.
Desirable Criteria
* Ideally a minimum of three C grades or above at A Level or equivalent qualification
* Experience in a similar or financial role would be desirable.
The successful candidate will need to demonstrate the following requirements:
* Right to Work confirmation
* DBS Disclosure check
* Employment or educational references covering five years
* Satisfactory credit check
