We are looking for a Director, Project Management to join our A-team (hybrid*/remote)!
Manages Project Managers (PMs) and/or Associate Project Directors (aPDs) and supports them in the execution of tasks and/or projects to ensure service delivery as per the requirements, high standard of quality and within contractual budget and timelines. This includes resource and performance management in order to maintain sufficient, qualified, competent and well-coached PM team. The Director Project Management (DPM) is actively involved in department and CTO related procedures, systems and deliverables in order to achieve a high performing team, and provide quality in the project specific service deliverables, and as a result, contributes to Allucent reputation and growth.
Location - Global
Project oversight
1. Serves as Project Director (PD) responsible for overall quality and management of the delivery clinical trial projects and programs
2. Manages complex, cross-functional resource requirements in line with budgeted, time, scope, and quality expectations for project delivery
3. Oversees budgets and ensuring correct financial forecasting, planning, invoicing and timely implementation of out of scope activities
4. Reviews and approves content and costing of proposals
5. Ensures effective risk management across the project and program delivery lifecycle
6. Negotiates and influences internal and external team members in a professional manner and with successful outcomes
7. Effectively solves problems with projects teams by applying strategic thinking and conflict resolution skills
8. Balances multiple competing priorities, with effective and efficient resource utilization across projects and programs
Client management
9. Serves as key contact for assigned clients on delivery of scope, customer satisfaction on services and capabilities and the assessment of client needs
Leadership
10. Line manages a group of ~8-10 PMs and/or aPDs (direct reports). Conducts regular one-to-one meetings or calls with allocated direct reports.
11. Manages direct reports to the core values of Allucent.
12. Manages direct reports to ensure optimal focus on departmental goals that are entered in ADP (Annual Performance Review system).
13. Provides training, expertise, guidance, advice, support and motivate project teams in the management of the assigned clinical trials.
14. Assists with Allucent internal training as needed and when required.
15. Ensures that best practices, lessons learned, and tools are developed and shared within project management team to achieve efficiency and quality.
16. Accountable for the performance of direct reports. The DPM achieves this by overseeing the KPIs for their studies, identifying potential high-risk areas and assisting in development of mitigation strategies.
17. Ensure studies managed by their direct reports are performed in good quality, compliant with the applicable SOPs and WIs, within budget and as per the timelines agreed with the client.
Resource Management
18. Resource forecasting needs in resource tool and resource allocation on existing and new projects and requests for proposals/bid defense meetings
19. Recruitment activities: opening PM/aPD job requisitions, participates in candidate interviews and evaluations, provides support in hiring decision).
20. Staff workload management: assesses allocated workload, reviews the budgeted and recorded hours to ensure they are within acceptable working limits for active studies for their direct reports.
21. Manage contractors:includes the entire process from recruitment to onboarding, oversight, engagement and performance.
22. Supports analytics and reporting of staff utilization and profitability.
Working Relationships
23. Typically reports to an Executive Director level, VP PM, or Sr. DPM.
24. Line manages PMs and/or aPDs.
25. Collaborates with all departments within Allucent.
26. Liaises with Sponsors, if appropriate (projects that the DPM is responsible for or as escalation step for PM team, when agreed with PD).
Requirements
Qualifications:
27. Minimum Bachelor’s degree in life science, healthcare and/or business degree.
28. Minimum 8 years of PM, PD, and Line Management experience.
29. Expert knowledge of ICH-GCP(R2), data and patient privacy practices, and applicable (local) regulatory requirements.
30. Working knowledge of computer systems, applications and operating systems, including 21 CFR Part 11 and data privacy (HIPAA/GDPR).
31. Extensive clinical trial experience, with at least 5 years of direct project/program management experience.
32. Expertise with clinical trial delivery processes enabling the application of a data driven approach to advance clinical trial delivery solutions.
33. Financial and business acumen, administrative excellence, and analytical skills.
34. Strong experience managing all phases of global, full-service clinical trial delivery lifecycles (Start-up, Maintenance, Close-out).
