Position Summary
The Executive Administrative Assistant (EAA) provides high-level administrative support to the Administrative Leadership Team (ALT) at Trinity Alliance, including the CEO, COO, CFO, CCO, Director of Buildings and Grounds, Director of IT, Director of Marketing and Communications, and Director of Development. The EAA plays a vital role in ensuring the efficiency and effectiveness of the ALT team through proactive coordination, communication, and administrative support. This position requires discretion, professionalism, strong written and organizational skills, and a commitment to the mission and values of Trinity Alliance.
Key Responsibilities:
1. Functions as confidential assistant to the Chief Executive Officer and ALT members.
2. Maintains membership, registrations, affiliations, grant programmatic and fiscal reports and assists the CEO and ALT in meeting deadlines.
3. Provide direct administrative support to the CEO and ALT members, including managing calendars, scheduling meetings, and coordinating logistics.
4. Prepare, edit, and proofread correspondence, reports, and presentation materials.
5. Serve as the central point of contact for internal and external communications related to the ALT.
6. Coordinate and maintain documentation for leadership meetings, including agendas, minutes, and follow-up action items.
7. Support planning and execution of special events, staff meetings, board meetings, and internal/external functions as needed.
8. Maintain filing systems, records, and confidential information in an organized and secure manner.
9. Assist with travel arrangements, reimbursements, and expense reporting for ALT members.
10. Support cross-departmental communication and collaboration to improve workflow and strategic alignment.
11. Serve as a liaison between the ALT and staff, board members, community partners, and other stakeholders.
12. Provide support with special projects and initiatives as assigned by the CEO.
Qualifications:
1. Associate's or Bachelor's degree preferred; equivalent combination of education and experience considered.
2. Minimum 3-5 years of administrative or executive-level support experience.
3. Strong written and verbal communication skills.
4. Exceptional organizational and time management abilities.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with technology and databases.
6. Demonstrated ability to handle sensitive and confidential information with discretion.
7. Ability to work independently and as part of a team in a fast-paced environment.
8. Commitment to the mission and values of Trinity Alliance.
Preferred Skills:
1. Experience supporting multiple executives simultaneously.
2. Familiarity with nonprofit organizations and community-based work.
3. An ability to anticipate needs, think critically, and offer solutions with a high level of professionalism.

Salary: $55,000 - $65,000
