CRASAC is an award-winning charity seeking an excellent client services administrator to provide professional, efficient, and effective administrative support to the CRASAC client services teams as part of the Business Team.
As a first point of contact, the Client Services Administrator will need to possess excellent communication skills. The image of the organisation and its services relies heavily on the ability of the role to communicate effectively and sympathetically with a wide variety of people including clients, professionals and staff.
The Client Services Administrator will need strong IT skills and be competent in the use of most Microsoft Office applications including Outlook, Word and Excel as well as Adobe. A working knowledge of PowerPoint and Publisher would also be helpful. Knowledge of databases would be essential.
The Client Services Administrator will need to possess excellent time management and organisational skills to be able to deal with a multitude of tasks and a range of priorities. They will need to be practical, proactive, resilient, calm under pressure and able to use their initiative. An understanding of sexual violence and previous experience in the voluntary sector would be advantageous.
Key Responsibilities:
1. Manage individual service inboxes.
2. Process all referrals and enter on the client database LUNA2.0.
3. Talk to clients and onboard them onto our services (must have experience in client work).
4. Maintain assessment waiting list.
5. Assessment and session bookings.
6. Respond to all client service enquiries filtering enquiries before passing them to the necessary person.
7. Follow-up and monitor professional paperwork.
8. Manage relevant filing systems.
9. Deal with enquiries by telephone, email, and post, and maintain filing systems.
10. Monitor the Booking System.
11. Help collate monitoring reports.
12. Implement all the policies and procedures of CRASAC.
13. Operate and comply with the provisions of the General Data Protection Regulation and relevant CRASAC policies on data protection whilst undertaking the role.
14. Safeguard children, young people, and vulnerable adults at all times.
15. Assist with general administration for the organisation.
16. Welcome and provide general support to visitors.
17. Part of Business Team rota of general housekeeping, cleaning and ensuring that the offices, client rooms and reception areas are fully stocked.
18. Undertake training as required.
19. Assist with other work, events and to undertake additional tasks reasonably requested by the Client Services and Business Team.
