Portsmouth Water is excited to announce an opportunity for a Document Controller to join the ground breaking Havant Thicket Reservoir projecthelping build the UK's first new reservoir in decades In this key role, you ll oversee the seamless management of project documentation, boosting communication, ensuring compliance, and upholding industry standards. As the project evolves, you ll play a central role in fostering team collaboration and ensuring accurate record-keeping, all while contributing to the successful delivery of this landmark infrastructure project. What will you be doing? Key Responsibilities Support to maintain and manage the client document management system, while monitoring interactions with contractor-provided document management systems. Flag issues with documents and closely monitor progress of documents in workflow procedures, expediting comment returns to contractors where required. Assist with the production of reports as required. Audit projects and documents to ensure adherence to the processes within the project management plan. Maintain good working relationships with main contractor document controllers. Support and manage the Common Data Environment (CDE). Support and assist with management of the HTR SharePoint. Attend related weekly meetings to update on progress of documentation. Provide holiday cover for the other HTR Document Controller as required. Liaise with internal Portsmouth Water departments to provide support and interface regarding sharing project information back with the business. Co-locate between PW offices and site offices as required. Maintain compliance with health and safety regulatory requirements (CDM and H&S at Work Act) Maintain compliance with Planning Permission and Section 106 Agreements. Maintain compliance with Portsmouth Water Southern Water Services Bulk Supply Agreement What do you need? Skills, Qualifications & Competencies 5 years of experience in senior document management in a construction or water industry environmen Bachelor s degree or Higher National Diploma in a relevant subject such as business administration, IT, library management or similar Proven experience in using electronic document management systems/common data environment Ability to communicate, engage and support all members of the project team Good organisation and self-management skills Resilience and the ability to work to deadlines Willingness to share and discuss ideas regarding improvements to existing processes. Good analytical skills, with the ability to review documents and provide constructive recommendations. Experience with the following is desirable: SharePoint/Excel/PowerPoint/Word/Contract Management tool i.e., CEMAR.
