Personal Assistant (PA) for Child Health Team

The Child Health service at Ipswich Hospital is looking for a creative, dynamic individual who has previous experience of working as a Personal Assistant and is able to bring their knowledge, skill, and experience to support the Management Team.
You will be highly organised, practical, reliable, and efficient and will have a flexible approach to the role; working on your own initiative as well as effectively as part of the wider team. Duties will include proactive forward planning, fielding emails and telephone calls, management of calendars, meeting management (agenda setting, distribution of paperwork according to an established timetable, high-quality minute taking, and follow-up of actions), managing the nurses roster for the senior nursing team.
To be successful in this challenging but rewarding role, you will thrive under pressure, have the drive and courage to solve problems, and the ability to prioritise a busy workload. The post holder will be diplomatic with highly developed communication skills, the ability to engage with a range of stakeholders, and will have proven IT experience.
This is a fixed term/secondment post until 31st May 2026.
Main duties of the job
1. To provide an effective, comprehensive personal assistant service to the Children's Matron, Children's ward, and Neonatal Unit senior nursing teams and operations team.
2. Dealing on a regular basis with confidential and sensitive information relating to staff and services.
3. Provide a comprehensive, high-quality business support service for the Child Health management team, including typing/word processing of letters, minutes, reports, and other routine correspondence, using own initiative.

Person Specification
Experience
* Proven experience in PA role with a proven track record of achievement.
* Experience of minute taking.
* Previous experience as a medical secretary or a medical administrator.
* Short-hand experience.
Qualifications
* GCSE or equivalent in Maths.
* GCSE or equivalent in English.
* Word processing to RSA III or equivalent.
* Knowledge of Medical Terminology and Medical Secretarial practices.
