About the Role: As the right-hand support to the Head of Children’s Services, you’ll play a crucial part in ensuring smooth day-to-day operations within our department. Your responsibilities are extensive and varied and include administrative tasks, secretarial support and organisational assistance to support the success of the Children's Services Coordination unit. This is a 12-month Maternity leave contract looking to commence in March 2025. Your Day Will Include: Providing vital business support to the Head of Children’s Services, Area Managers, and the Internal Unit. Assisting with the smooth running of cooperative board functions, including generating monthly reports, coordinating AGM meetings, and supporting the Boards Chairman and Board Directors. written and verbal communication with key external stakeholders that includes writing professional letters to updating social media posts. Managing the department’s inbox, processing incoming communications, and overseeing business renewals, licences, and agreements. Organising scheduled meetings, taking minutes, and setting up agendas for the department and the Children’s Services Cooperative. Overseeing invoicing and supporting communication, marketing and Allied Health functions. Collaborating with a diverse range of stakeholders, from other Council departments to government agencies and local businesses to ensure the delivery of high-quality services. Project and event management duties including award celebrations, internal/external events and conference bookings. What We Are Looking For: Tertiary qualification in Secretarial/Office Administration/Business Management or a related field. A strong understanding of Children’s Services and the associated regulations. Proven experience in office administration, personal assistance, and maintaining confidentiality. Exceptional organisational skills with the ability to meet deadlines and manage competing priorities. Excellent verbal and written communication skills. Strong attention to detail and accuracy in all tasks. Ability to work collaboratively in a team environment and deliver excellent customer service outcomes. Advanced Microsoft Office skills (including PDF writable documents, Word, and PowerPoint). Basic knowledge of Childcare Management Systems like Hub Hello is a bonus The Perks: Competitive salary range of $80,913 – $93,661 per annum 11.5% superannuation.
