Hingham Surgery is looking to appoint a deputy practice manager to help lead our organisation on a full-time basis for 37.5 hours per week. The main responsibilities of the role include: Oversee the patient navigation operations of the practice, ensuring staff achieve their primary responsibilities. Oversee the provision of quick, efficient, and accurate dispensing of medication to patients, and to ensure effective financial control of the dispensary. Work closely with clinical staff to ensure the smooth running of the practice, reporting any problems encountered to the relevant person. Provide leadership, support and training for current and new staff ensuring that data quality guidelines are understood and adhered to. Ensuring staff adhere to policy and procedure at all times. Manage the maintenance of the holiday register for reception and dispensary staff. Manage the diary for all clinicians’ holidays, meetings etc and to make sure all the information is incorporated into the appointment schedules. Organise any locum or internal staff cover needed for doctors, nurses, or administration teams. Provide support to the practice manager in project work, and in the running of key systems and procedures such as payroll, pensions, accounts and health and safety. The post-holder will need to become familiar with all functions of the clinical system and their applications, plus national and local quality standards for primary care. Deal with more complex enquiries and requests from patients. To be the first line of contact for patients with respect to the complaints procedure and to take appropriate action as set out in the Practice’s complaints procedure, with the support of the Practice Manager where appropriate. Identify trends and devising solutions to reduce risk and repeated occurrences of significant events. Arrange for contractors to carry out any urgent repairs needed to the building. All applicants should have the following skills and qualifications: A relevant qualification in business management, or equivalent qualification or experience. Strong skills and experience in HR, premises management, IT and complaint handling. Prior experience of leadership and personnel management, ideally within a healthcare setting. Self-motivated, with a forward-thinking, solution-focused approach. The ability to develop, implement and embed policies, procedures and guidelines. Experience of working in an ever-evolving environment, with an ability to cope with regular change. Organisational, management and planning skills, IT skills and communication skills. Ability to motivate teams, enhance morale and maintain a positive working environment. Ability to implement and manage change effectively.
