The Role: The role of Facilities Assistant is to support with the day-to-day and customer facing operations for the Client/Anabas. Therefore, it is critical that the job holder demonstrates professionalism, ownership and responsibility for attending to the clients needs on site and where they are unable to do so, escalating in a swift and speedy manner to the appropriate personnel within Anabas to quickly satisfy the needs of the client. To be a go to contact for all floor occupants and visitors, actively building relationships with key stakeholders/customers and ensure that the clients office is fully compliant with all Health & Safety and Environmental legislation. The primary focus of role is supporting the Workplace Experience Manager which this role reports to. Raising quotes, purchase orders, and receipting invoices. Taking ownership of the new starter experience for the Client which involves access control management, responding to helpdesk tickets such as general office enquiries, and reporting on Health & Safety. As a multi-tenanted building, maintaining a strong working relationship with the landlord and their agent is a must. Communicating with onsite third-party teams to see in deliveries, manage the Client physical spaces, and help promote new best practices. Including helping manage the parking schedule for the Clients limited space for customers. Key Responsibilities: Manage the day-to-day service delivery. Administration. Quotes, POs, receipting invoices for multiple sites. Help manage the Employee On-site Experience Conduct Workplace Induction Tours and manage New Starters Induction Process and Procedures Health & Safety and events support Access control management. Access requests and badges etc. Helping maintain a safe working environment. Seeing in deliveries for various projects, working with the onsite team for the estate.
