About the role:
The Clinical Administrator is an essential position that supports the service on assisting the smooth running of the day-to-day activities of our clinic and handling various administrative duties, including handling incoming and outgoing correspondence, scheduling appointments, reporting, managing processes and maintaining an organised records system. This role also includes covering reception duties.
Main duties and responsibilities:
* The postholder will be covering the afternoon and evening shift of the reception in Wimpole Street.
* Answering incoming calls, referring to relevant departments/ employees to manage their enquiry, advising employees of any messages via email or MS Teams.
* Proactively undertake training on the admissions process, services provided in person and online for enquiries via telephone, should the admissions team be unavailable.
* Ensure urgent messages for the Clinical Director, Clinical Managers and/or Service Director at Wimpole Street are received and acknowledged in a timely manner.
* Escalation of any client concerns, unexpected sign out departures to the clinical team on duty.
* Ensuring the reception area is kept to a high level of tidiness aligning with the health and safety requirements. Raising any maintenance issues to the Health and Safety Officer / Facilities Manager.
* Management of deliveries to Wimpole Street, notifying the relevant person(s) and/or department to arrange collection from reception. Coordination of courier requirements for goods/assets to and from Hallam Street.
* Shut down of building.
* Ad hoc admin tasks for both the Compliance and Health and Safety team.
* Flexible to work between both sites on Wimpole Street and Hallam Street in line with business needs.
* Cover reception, answer the phone, dealing with visitors & clients.
Desired Skills and Expertise:
* A proactive, hardworking and motivated individual. Ideally with experience in a fast-paced organisation and/or start-up business.
* Previous experience working in a medical or therapeutic healthcare environment.
* Experience with diary management and administrative tasks.
* The ability to function well in a team, while also being able to use their own initiative.
* Be proactive & organised.
* Ability to meet deadlines.
* Ability to maintain strict confidentiality.
* Good spelling and grammar for clinical letters and correspondence is a must.

Schedule:
Part-time, Monday to Friday from 1.30 pm to 7.30 pm.
