Client Experience & Planning Associate
Position Overview
The Client Experience & Planning Associate plays a critical role in ensuring seamless financial planning execution and maintaining strong client relationships. This position blends client relationship management, financial planning support, and operational coordination, ensuring that clients receive exceptional service throughout their financial journey.
The ideal candidate is detail-oriented, enjoys working directly with clients, and thrives in a collaborative team environment. While this role offers opportunities for professional growth within the firm, its primary focus is on delivering high-quality financial planning support and enhancing the client experience.
This is a full-time, in-office position.
Key Responsibilities
Client Onboarding & Engagement
* Serve as the primary point of contact for client inquiries, responding promptly and ensuring timely issue resolution.
* Oversee the client onboarding process, ensuring all necessary documentation and initial planning steps are completed smoothly.
* Coordinate client meetings, follow-ups, and touchpoints, ensuring that clients feel supported and informed at every stage.
* Co-create client-facing communications such as newsletters, updates, and event invitations, maintaining a professional and consistent brand tone.
* Cultivate strong relationships with clients by understanding their needs, preferences, and goals to anticipate future opportunities.
* Collaborate with Wealth Advisors to build genuine relationships with current clients and work hard to gain their trust by providing value during all phases of the client journey
* Assist in building and maintaining financial action plans using planning software such as eMoney and Holistiplan.
* Assist with investment research, plan implementation, and portfolio updates as directed by advisors.
* Ensure financial plans remain current by tracking client action items and proactively following up on outstanding tasks.
* Maintain up-to-date and accurate client records in firm CRM, tracking interactions, notes, and key milestones.
* Prepare meeting agendas, summaries, and follow-up action items to support client communication and planning.
* Collaborate with advisors and the operations team to ensure seamless execution of financial action plans.
Operational & Administrative Support
* Maintain organized client records and documentation to ensure compliance and efficiency.
* Streamline financial planning workflows to enhance internal processes and improve client experience.
* Provide support in scheduling, document management, and CRM data entry to keep advisors focused on client-facing responsibilities.
Key Attributes & Qualifications
The ideal candidate will bring a client-first mentality, strong communication skills, and a detail-oriented approach to financial planning coordination.
Education:
* 2-year degree in Business, Accounting, Finance, or a related field required.
* 4-year degree in Business, Accounting, Finance, or a related field preferred.

* Ability to work independently while also collaborating within a team environment.
* Exceptional communication and interpersonal skills, with a strong ability to engage and build relationships.
* Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously.
* Strong technological proficiency and a willingness to learn and adapt to new systems.
Preferred Qualifications:
* Prior experience in financial services, wealth management, or client relations.
* Proficiency (or willingness to learn) in eMoney, Morningstar, Redtail CRM, and fi360.
* Comfortable working in-office and virtually with advisors and team members while directly engaging with clients.
* Interest in pursuing advanced industry designations and/or training
