We are looking for a Technical Secretary to lead on the Great Grid Partnership governance forums, cascading frameworks and support external engagement meetings, ensuring the efficient implementation of our governance boards and steering groups on a regular basis.
Responsible for ensuring the meetings run smoothly, chasing up and ensuring packs are produced in a timely manner, whilst working closely with the Enterprise Directors and Strategic Operations Manager to ensure consistency. This role will need to influence the GGP senior leadership team to ensure timely, and accurate input to the GGP boards and steering groups.
This role will ensure key messages and successes are cascaded to the relevant audiences, ensuring key leaders are informed where needed, using their ability to influence and provide clear messaging. The GGP Technical Secretary will also develop, own and lead on new processes for improving data management, documentation, meeting management, slide presentation and version control filing.
This role is responsible for providing administrative and key operational support for the Directors office team within the GGP to ensure the effective running of meeting management requirements. The GGP Technical Secretary will need to work closely with the Enterprise Directors but also wider teams across the GGP, Client and Partner organisations.
They will facilitate communication, documentation, and coordination all GGP boards and key steering groups. They have excellent written and verbal communication, prioritisation, organisational and interpersonal skills, and the ability to use Microsoft Word, Excel, Outlook and Power Point to a high standard, along with a keen attention to detail.
This role is also responsible for the logistical challenges of the various board meetings within the GGP including setup and continuity of meetings, ensuring best practice is followed and influencing key stakeholders to ensure their participation in these meetings.
This role is based from our Birmingham office whilst we continue to offer hybrid working from home. This role will require regular attendance for onsite meetings.

* Demonstrable experience of owning and delivering new initiatives/projects.

* Supervisory experience – assigning tasks, coaching peers or more junior colleagues etc would be desirable.
* Experienced user of MS Office toolset (Word, Excel and PowerPoint and SharePoint).
* Demonstrate a logical and methodical approach to problem solving, with good attention to detail.
* Strong relationship building and interpersonal skills.
* Proven work experience as a Project Coordinator or similar role.
* An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
* Solid organisational skills, including multitasking and time-management.
* Strong client-facing and teamwork skills.

What you'll do
* Whilst ensuring the team are supported in all elements of the GGP process, this role will be responsible for the development and ownership of a handful of new initiatives such as improving the GGP meeting workflows.
* Ensure a smooth and efficient implementation of the GGP board and steering group meetings, workshops and other related events, capturing minutes and actions in a timely manner, and working with the GGP teams to ensure actions are closed out.
* Influencing wider stakeholders to create consistency across the GGP, ensuring processes are being adhered to, actions completed in a timely fashion.
* Reviewing the existing GGP board process alongside the Strategic Operations Manager and ensuring best practice is identified and implemented.
* Coordinate the logistics for the various board and key meetings including room bookings and ensuring IT and presentation facilities are available.
* Review and consolidate board level reporting deliverables.
* Assist with the communication of board level reporting outputs and other briefing material and events for the wider GGP.
* Supporting the GGP Team and as appropriate with the efficient delivery of our administrative and organisational requirements.
What you'll get
A competitive salary between £41,000 – £46,000 dependent on capability.
