A little more about your role…
* To undertake the daily opening and scanning of a post including filing and archiving on a daily basis.
* Providing administration assistance in the operational management of a large complex client portfolio under guidance from a senior colleague.
* Processing emails from multiple inboxes.
* Maintaining GL Hearn’s property database with transaction and factual data.
* Inputting of data received from client schedules, generally in excel or hard copy.
* Providing support to valuation case valuers and surveyors.
To provide support to the main Business function as follows:
TEAM WORK
* Work closely with other members of the team and develop good working relationships.
* Assist other teams within the support function when required.
POST
* Processing incoming and outgoing post.
* Scanning and filing.
* Archiving.
EMAILS
* Have main responsibility for actioning emails in the required inbox.
* Ensure that the inbox is cleared down by the end of each day.
* Ensure colleagues receive accurate information within specified timeframes.
* Process emails from other inboxes as required.
* Record Form Help emails on GL Hearn’s property database.
* Send emails regarding MCC and recons.
DATA INPUT
Update GL Hearn’s property database from excel spreadsheets and reports:
* Including Admin support reports.
* Update tenure and leases.
* Bulk uploads to ensure the data on the systems are up to date.

* Good organisation skills with the ability to manage time, work to tight deadlines and prioritise tasks.
* Proficient in the use of desktop software and Microsoft Office Suite.
* Ability to work as part of a team and individually.
* A keen attention to detail and methodical approach.
* Problem-solving skills.
* Good interpersonal skills.
* Good numeracy skills and written skills with a professional approach to sending emails to clients.
* An understanding of business rate legislation would be advantageous.
