Based at The Macallan Estate and reporting to the Experience Assistant Operations Manager, the Administration Assistant ensures effective and efficient organisation and administration support for the Experience Operations Team. The teams includes Food and Beverage, Culinary, Guest Experience & the Boutique. This role is responsible for business critical tasks such as stock management and reporting, placing and monitoring orders, H&S and training records as well as the day to day administration tasks.,
* Build and maintain strong relationships with key internal and external contacts, including Experience & Events and Finance Admin
* Oversee all stock management administration to ensure accuracy and efficiency
* Maintain and update Health & Safety and training records
* Review and submit team timesheets in a timely manner
* Manage departmental ordering through the company's Pay to Procure process, in collaboration with Finance
* Handle all administrative tasks for the team, including office management, stationery, and equipment ordering
* Produce daily operation sheets, menus, and bottle labels
* Maintain responsibility for the department Key Safe
* Ensure all tasks are completed to a high standard and within set deadlines
* Support ad hoc projects and activities as required
* Prepare and distribute meeting agendas and take minutes for internal meetings when needed
* Proactively manage the quality of the working environment, ensuring any hazards or damage are reported via the job card system
* Responsible for all new supplier set up with Navex system for the Experience Operations Team and ensure appropriate maintenance of the system
* Use of ServiceCloud, Sevenrooms, AnyRoad and Event Diary, experience management platforms
To be successful in this role, you have strong IT skills, particularly in MS Office packages such as Excel, and the ability to adopt and implement new technologies as needed. Experience with event booking and customer service platforms would be advantageous. You possess strong organisational skills, can work to deadlines, and have basic problem-solving abilities. You communicate effectively across multiple stakeholders and have keen attention to detail in record-keeping and data entry. Self-motivated and proactive, you take ownership of tasks and have a continuous improvement mindset. Ideally, you have previous experience as a PA or EA and demonstrate a strong aptitude for learning, with high levels of engagement and curiosity.
