Job overview
The main aim of this role is to support Bladder & Bowel Team.
As part of your role, you will be expected to work flexibly by supporting community services across the division when required. The aim of this plan is to ensure clinical service provision can remain both safe and efficient. There are options for staff to work hybrid, based on the clinical support requirements.
The organisational hybrid policy supports administrative support services across the division.
Main duties of the job
1. To provide a comprehensive and high-quality administrative support service. The successful candidate is expected to deliver excellent customer care and have the ability to support with call handling whilst being empathetic and understanding to service users.
2. Ensure the delivery of the quality strategy within the designated area incorporating establishment of systems and processes.
3. Organise the diaries and commitments of managers, including scheduling of meetings, conferences, including making catering and travel arrangements when necessary.
4. Attend weekly meetings, take notes, prepare agendas and other papers as required.
5. Sort and prioritise mail for the team dealing with all correspondence confidentially.
6. Respond to all telephone, e-mail and general enquiries ensuring that appropriate messages are emailed or actioned.
7. Liaise with colleagues at all levels both within the team and across other agencies and in other organisations.
8. Propose any necessary changes of local protocols necessary to aid service improvement.
9. Maintain appropriate supplies for the team, being responsible for all necessary ordering of supplies/equipment.
10. Undertake delegated tasks and prepare reports including PowerPoint presentations for appropriate management.
11. Supervise others, planning their workload and dealing with any issues.
12. Collate incoming invoices, keeping a record of invoices paid and process any invoice queries that may arise.
13. Provide cover for and undertake duties of absent colleagues as necessary.
14. Undertake any other delegated duties as appropriate and commensurate with the post.

Qualifications
* GCSE/NVQ2 or equivalent, or equivalent work-based experience
* RSA 1/2 type writing or equivalent, or equivalent work-based experience
