Job Overview: We are seeking an experienced Residential Conveyancing Legal Secretary to join a dynamic conveyancing team. The successful candidate will provide essential administrative and secretarial support to ensure the department's efficient operation. This role requires a minimum of two years' experience within a Residential Conveyancing department and a proactive, organised. approach to managing daily tasks and deadlines. Responsibilities: Provide direct administrative support to the conveyancing team, including digital dictation and document production. Manage diaries, schedule appointments, arrange meetings, and reserve meeting rooms. Handle client file management, including opening, closing, and maintaining files in compliance with office procedures. Respond to new client inquiries and assist with telephone calls in a professional manner. Prepare, dispatch, and manage incoming and outgoing correspondence, photocopying, and scanning tasks. Assist with billing and other administrative tasks as requested by team principals. Arrange and prepare meeting rooms, including providing refreshments as needed. Support and guide junior and temporary staff, ensuring smooth workflow within the department. Maintain confidentiality of all client and firm information at all times. Attend to clients both in person and over the phone, delivering a professional and friendly service. Qualifications: Minimum of two years’ experience in a Residential Conveyancing department. Strong administrative and organisational skills, with experience in filing, document production, and diary management. Ability to manage multiple tasks efficiently and meet deadlines with accuracy. Excellent attention to detail and a professional approach to all aspects of work. Strong communication skills and a confident phone manner.
