Job Description
Scope Of Position
To gain working experience across all areas of the Sales and Marketing department. Assist with the smooth coordination of the department and support all members of the Sales and Marketing Team, including the Director. Work closely with and support the Director of Communications on all departmental disciplines including digital and print copy, updating websites and databases. With the sales team, you will be arranging and organizing site visits and show-arounds, diary management, and meeting VIP guests.
Responsibilities
Operation
* Provide general administrative support to the Directors and Sales and Marketing Team (e.g., diary management, daily trace, travel arrangements, event and photo shoot organization, set up of internal and external meetings).
* Ensure that all hotel collateral (both digital & print), corporate gifts, and departmental stationery are updated and current and manage the inventory of all stock.
* Research and identify original and unique corporate gifts to mark special occasions such as Eid, Chinese New Year, Christmas, New Year, and birthdays. Ensure gifts are in stock in a timely fashion, are on brand, and within budget.
* Conduct site inspections and assist with events as required.
* Attend appointments and events with the relevant Manager as required.
* Ensure that departmental files are clean, secure, and up to date.
* Deal with general day-to-day inquiries to the Communications Department and refer inquiries to the relevant team member where appropriate.
* Conduct analysis of statistics and reports as directed by the Director of Sales and Marketing.
* Liaise with the purchasing department and outside suppliers regarding departmental administrative requirements.
* Liaise with the Finance Department to chase commission payments, outstanding invoices, and expenses.
* Provide support for the travel requirements of members of the Sales & Marketing team.
* Respond to general hotel information inquiries.
* Additional responsibilities in absence of line manager or senior employee.
* Perform other duties as required or assigned, including working in a different department or restaurant than usually assigned.
