Responsibilities:
1. Register/print out and maintain tracker for RAMS.
2. Manage incoming RAMS as per separate procedure.
3. Print off and distribute to relevant persons.
4. Update tracker/register.
5. Monitor SharePoint filing.
6. Maintain holiday/training chart.
7. Check community suggestion boxes.
8. Update site noticeboards to ensure constant relevant information.
9. Conduct staff induction checks.
10. Meet and greet visitors (manage PPE, parking permit, and EV charging card issue to visitors).
11. Schedule meeting rooms and follow protocol.
12. Manage and order office stationery (safety-related Kier orders 4055/supervisor handbook).
13. Collate documents for contract meetings.
14. Sort out refreshments for meetings.
15. Manage office deliveries.
16. Oversee all keys (non-switch room), ensuring they are booked in and out.
17. Assist with induction records and issuing Biosite cards.
18. Monitor weekly safety returns and advise failing to owner.
19. Ensure that RAMS/TBT's/Health and Safety Checks (Mandatory & Site Specific) are kept up to date; the filing system associated with these documents must be easily identifiable and accessible.
20. Manage 3-monthly reviews of RAMS and advise SM when reviews are required & register (e.g., plant).
21. Take an active role in office safety procedures.
22. Manage orders and deliveries of sundry items for site management.
23. Receipt and manage delivery tickets and return them back to the office as required.
24. Assist in training staff in using relevant systems.
25. Liaise with site management, responding to questions and requests for information.
26. Operate SMART WASTE system for meter readings and any necessary paperwork.
27. Ability to use Word, Excel, PowerPoint, Outlook, View Point, Dalux, and any other software systems used on the project.
28. Previous experience of working on a large construction project is valuable but not necessary.
29. Continuous improvement of systems and procedures on site is required; any comments or observations are welcome from individuals.
