A unique opportunity has arisen in the Workforce Directorate for a full time Medical Workforce Administrator.
Good communication, attention to detail and strong administration skills are essential to this role as are experience of Microsoft Office packages and all aspects of office work.
You will be responsible for the delivery of a timely, accurate and high quality customer focused service ensuring safe recruitment practices and medical locum sourcing are maintained and all service requirements are complied with accurately, on time and are delivered in a professional customer focused way.
You will need to be motivated, flexible and able to work independently and at times under pressure.

Main duties of the job
1. Communication/Customer Service and Team working.
2. Communicate information relating to the whole recruitment process to colleagues and applicants in a timely manner.
3. Ensure safe recruitment practices are maintained and all service requirements are complied with accurately, on time and are delivered in a professional customer focused way
4. Responsible for all Deanery and Trust Junior Doctors Recruitment and Retention and to send out letters of confirmation and all associated paperwork.
5. Ensuring the Medical Tracker is current and reflects the rotations, delegate to team members as necessary to ensure fair division of work.
6. Propose changes to departmental policies and procedures as and when appropriate.
7. To assist in the development of new protocols and make suggestions to improve the service
8. Organise the yearly change over of medical staff and completing of all associateddocumentation and changes in Deanery appointed staff outside this period
9. Attend internal and external workshops and training courses and feedback to the Medical Workforce and wider HR team
10. To update the Medical Workforce team with new and existing processes the post holder may come across

The post holder will support and assist the Medical Workforce team in all aspects of Medical Workforce matters.
11. Manage the recruitment life cycle with regards to Deaneries/Training & Trust vacancies.
12. Manage the Medical locum bookings process.
13. Deal with day to day enquires from doctors and managers.
14. Assist with the workload in the absence of colleagues (Medical)
15. To be aware of NHS Medical staff terms and conditions of employment and to ensure that the working patterns in the system are compliant.
16. To obtain sign off from the departmental lead for any changes made to the rota template and to raise any variances in hours worked identified by the system.
17. Process the additional duties claims in a timely manner

18. Minimum of 5 GCSE (C and above)
19. Evidence of continued professional development
20. Willingness to learn via electronic and face to face courses/attend course
21. Understanding of admin and HR processes acquired through training and experience to CPP/diploma level equivalent
