We are looking for a facilities administrator to join our growing team and help assist with the daily operations of our team. The facilities administrator will be responsible for coordinating and overseeing the day-to-day operations of our facilities. The role involves managing maintenance activities, liasing with contracts, ensuring compliance with health and safety regulations and providing general administrative support to the facilities team. The ideal candidate will have strong organisational and communication skills, and provide a proactive approach to problem-solving.
Duties include but are not limited to:
* Act as the first point of contact for incoming telephone calls, accurately processing enquiries, resolving concerns where possible, or distributing callback requests to the relevant department with key information. Ensure clients are updated with the progress of works.
* Schedule and oversee maintenance and repair work, ensuring timely completion and minimal disruption to operations
* Liaise with external contractors and vendors to negotiate contracts, manage service agreements and ensure high-quality service delivery.
* Maintain an inventory of facilities supplies and equipment, ensuring stock levels are adequate and orders are placed as needed.
* Maintain accurate records of maintenance activities, service agreements and compliance documentation.
* Provide general administrative support in the office
Skills & Qualifications:
* Previous experience in a facilities management or office administration, or a similar role is highly desirable
* Strong organisational and communication skills
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
* High attention to detail
* Ability to work independently and as part of a team
Job Types: Full-time, Part-time
Pay: £24,000.00-£28,000.00 per year
Expected hours: 30 – 37.5 per week
