Job overview
The EFM Training and Development Administrator is responsible for overseeing the day-to-day administration of the EFM Training & Development Department, ensuring efficient and professional service delivery. This role acts as the first point of contact for the department, providing support via in-person, telephone, MS Teams, and email communications. Key responsibilities include maintaining accurate training records, coordinating administrative tasks such as printing, handouts, room organisation, and stationery orders. The post holder will liaise with internal departments, managers, and external training providers to resolve queries and ensure staff availability for training sessions. Additionally, the role involves managing data entry, reporting, and overseeing both internal and external platforms. The EFM Training and Development Administrator will also represent the department in meetings with internal and external stakeholders.
Main duties of the job
1. General Administration
o Oversee the day-to-day administration of the EFM Training & Development Department, ensuring efficient and professional service delivery.
o Act as the first point of contact for the department, responding to in-person, telephone, MS Teams, and email inquiries.
o Maintain accurate and up-to-date training records for all staff.
o Provide administrative support, including printing, preparing training handouts, organising rooms, and ordering stationery.
2. Training Coordination & Compliance
o Work with internal departments, managers, and external training providers to coordinate training schedules and ensure staff availability for sessions.
o Support compliance monitoring by maintaining training records and ensuring accurate data entry on platforms such as LEARN and Navitas.
o Assist in monitoring training completion rates and escalating issues as required.
o Ensure NHS policies and procedures regarding certification and qualifications are adhered to.
3. Data Management & Reporting
o Input and maintain accurate training and development data across internal and external systems.
o Generate and present reports on training attendance, compliance, and staff development as required.
o Perform first-line analysis of training data to identify gaps and areas for improvement.
4. Stakeholder Engagement
o Liaise with managers, team leaders, and other stakeholders to support training needs and resolve queries.
o Represent the Training & Development Department in internal and external meetings as required.
o Provide excellent customer service by addressing inquiries and ensuring timely responses to requests.
5. Process Improvement & Organisation
o Support the continuous improvement of administrative processes related to EFM training and development.
o Assist in the development and implementation of systems for tracking, reporting, and managing training compliance.
o Ensure training materials are prepared and available ahead of sessions.
6. IT & Systems Management
o Utilise Microsoft Office applications (Outlook, Excel, PowerPoint, Teams, Word) for administrative tasks.
o Manage and update web-based platforms such as LEARN and Navitas.
o Ensure the accuracy and integrity of data inputted into digital records and reporting tools.
7. Additional Responsibilities
o Undertake any additional duties as required to support the smooth operation of the EFM Training & Development Department.
