Facilities Officer

Are you an organised, proactive individual with a passion for creating smooth, safe, and efficient working environments? We're looking for a Facilities Administrator to join our client's dynamic team in Edinburgh for 12 months and play a key role in supporting our facilities operations. This is a fantastic opportunity to deliver real impact, work with a variety of people, and help keep the workplace running at its best.
What You’ll Be Doing:
* Act as the first point of contact for all facilities-related calls and requests, delivering top-tier customer service within strict SLAs.
* Manage maintenance and service requests from start to finish, keeping stakeholders updated along the way.
* Coordinate planned preventative maintenance and respond swiftly to reactive issues.
* Flag potential risks to management promptly and responsibly.
* Handle and process original legal documents with accuracy and confidentiality.
* Operate key Digital Mailroom equipment, including guillotines, scanners, folding machines, and digital printers.
* Manage contractor/vendor access, ensuring all compliance checks and inductions are completed.
* Support on-site facilities operations and assist with internal office moves and manual handling.
* Take ownership of essential Health & Safety roles such as First Aider and Fire Warden, and maintain noticeboards with up-to-date information.
* Contribute to ad hoc projects and offer support where it’s needed most.
What You’ll Need to Succeed:
* Previous experience in a facilities environment or print services.
* Hands-on experience operating digital printing equipment and using Fiery Print Software.
* Proficiency in Adobe Acrobat, Microsoft Office Suite (Excel, Word, PowerPoint), Microsoft Teams, and Outlook.
* Strong communication skills and a commitment to outstanding customer service.
* Willingness to perform manual handling tasks (up to 25kg).
* A proactive, adaptable mindset to support the evolving needs of the business.
