About the job Document Controller / Site admin
Health and Safety:
1. Ensuring all inductions are complete, relevant documents are valid and the correct documents uploaded.
2. Ensuring all new workers have signed their company RAMs/Lift Plan.
3. Sending induction links or accommodating people with instruction on QR codes.
4. Ensuring all visitors complete visitors inductions.
Documents:
1. Ensuring all subcontractors forms and certs are submitted for the commencing week or for plant arriving onsite (If not follow up).
2. Issue Plant stickers for new plant.
3. Update plant tracker with relevant information.
4. Update RAMS tracker with relevant information.
5. Ensure all permits are signed Closed off.
6. Ensure all new subcontractors complete Safe Starts.
7. Attendance Register Daily updated.
8. Frequent maintenance of the attendance register, ensure all certs and cards valid.
9. Site Resources Daily Updated and issued to site management and H&S manager.
10. File all H&S weekly documents onto Procore.
11. Update Whiteboards daily/information received Manpower, Permit Board and Daily/Weekly inspection Upload photos to Elliott Group on site diary.
Procurement:
1. Raising material and plant requisitions.
2. Clearing missing tickets printing snippet of missing ticket information (signed by manager) preferable - request a copy of the docket from supplier.
3. Material and Plant GRNs.
4. Arranging collection for off hire equipment/plant and manually off hiring on coins.
5. Gather information for monthly stationery/office supply orders.
6. Following up with Procurement/supplier regarding outstanding requisitions or POs.
7. Problem Invoice Workbench gather more information.
8. Tracking plant report and communicating with site and procurement if changes have not been updated on tracker.
Site Administrator Duties:
1. Update daily manpower information gathered from attendance register.
2. Capture all visitors.
3. Record of all internal plant arriving or leaving site.
4. Record of all waste dockets.
5. Record of new skips or skip exchanged.
BCAR/Quality:
1. Ensuring all relevant company information captured on O&M tracker and Procore directory.
2. Quarterly Quality Audit Inspection Template provided (BCAR/Quality Manager) will request required information.
3. Upload apartments sign off and certs to Procore when requested by site management.
4. Finalized and received certs for apartments will be updated to Procore inspection along with photographs and apartment sign off sheets.
Update Other Adhoc Duties:
1. Drawing Register.
2. Agency Labour timesheets (HO will be taking over this).
3. Printing and laminating of signage.
4. Stone and waste register.
5. Gathering relevant information for Project Review.
